Google Workspace Updates Weekly Recap – January 27, 2023

2 New updates

Unless otherwise indicated, the features below are fully launched or in the process of rolling out (rollouts should take no more than 15 business days to complete), launching to both Rapid and Scheduled Release at the same time (if not, each stage of rollout should take no more than 15 business days to complete), and available to all Google Workspace and G Suite customers.


Rollout update for the new Gmail user interface
Beginning today, the new Gmail user interface is rolling out for scheduled release domains, with anticipated completion by February 3, 2023. This will become the standard experience for Gmail, with no option to revert to the original UI. For more information, see our previous announcement.

Display space names when granting access to files 
When sharing a Google Drive file to a space in Google Chat, you will now see the space name and associated image if you are a member of the space. If you are not a member of the space, but would still like to share a file to that space, the space name will show as “Private Space.”

Check availability across multiple calendars when using appointment schedules on Google Calendar
We’ve introduced the ability to check and see a visual preview of multiple calendars when setting up your appointment schedules. Your booking page will show you as unavailable when you’re busy based on the calendars you choose. | Available to Google Workspace Business Standard, Business Plus, Enterprise Standard, Enterprise Plus, Education Fundamentals, Education Standard, Education Plus, the Teaching and Learning Upgrade, and Nonprofits customers only. | Learn more. 

Easily share access to presented content in Google Meet with all attendees
We’ve made two improvements which will make file sharing in Google Meet even easier. First, you can now share access to the content you’re presenting in a meeting with attendees, including everyone on the Calendar guest list, directly from Meet. Second, whenever you paste a link into the meeting chat, you’ll be prompted with the file access dialog — from here you can adjust access as needed and choose to attach the file to the calendar event. | Learn more.

Improved membership management for spaces

What’s changing

We’re introducing a new fullscreen experience for managing members in a space that replaces the current "View members" and “Add people and apps” options in Google Chat.


Upon clicking the new “Manage members” option, you can view a list of those added and invited to the space, in addition to space settings. From there you can add or remove members and update settings. In addition, you can manage Chat apps or integrations by using a newly added “Apps & integrations” option in the space menu.

Find apps and app commands in Chat with a new Integration Menu 
We’re making it easier to discover and use Chat apps with a new Integration Menu. Simply click the (+) button next to the compose bar in a Chat message to see installed apps. You can also browse the slash commands that the apps support and execute them. On the web, the Integration Menu includes a search functionality that allows you to browse new apps. | Available to Google Workspace Essentials, Business Starter, Business Standard, Business Plus, Enterprise Essentials, Enterprise Standard, Enterprise Plus, Education Fundamentals, Education Plus, Education Standard, the Teaching and Learning Upgrade, Frontline, and legacy G Suite Basic and Business customers only.

Increasing efficiency through better meeting room management with room release 
Room release, an existing feature that releases booked meeting rooms when all but one attendee declines the invitation will now be ON by default. There will be a transition period, from January 11 - March 6, 2023, where admins can opt out structured meeting rooms or user groups from this room release setting. | Available to Google Workspace Business Plus, Enterprise Standard, Enterprise Plus, Education Fundamentals, Education Plus, Education Standard, and the Teaching and Learning Upgrade, and legacy G Suite Business customers only. | Learn more. 

New in-meeting reactions for Google Meet

Introducing simpler conversation creation in Google Chat

View speaker notes while presenting Google Slides in Google Meet
In October of 2022, we introduced the ability to present Google Slides directly in Google Meet. Introducing simpler conversation creation in Google Chat

What’s changing

Currently, when starting a new Google Chat conversation on the web, you are prompted to select “Start group conversation” before typing the name(s) of who you’d like to chat with. 


Starting today, the process to create conversations in Chat will be much simpler by combining the flow for creating one-on-one conversations and group conversations. We’re removing the “Start group conversation” option, and enabling you to create conversations with the desired number of recipients right away by simply typing the names of the recipient(s).

Why it matters 

With this update, users can create Chat conversations in one consistent and intuitive way, whether with one person or a group. Additional details There will be no changes to the process for creating new spaces, browsing spaces, or sending messages to existing spaces. 

Getting started 

  • Admins: There is no admin control for this feature. 
  • End users: 
    • Open Google Chat on web > select “New chat” > type the names or emails of chat recipients > select from suggestions shown or hit Enter. Once you’ve included everyone you want in the conversation, click “Start chat” or hit Enter again. 
      • Tip: To start a conversation with one person directly, you can click the “Start chat” icon next to their name or use the keyboard shortcut Cmd [icon]+Enter (MacOS) or Ctrl+Enter (Windows, Linux, ChromeOS). 

Rollout pace 

  • Rapid Release domains: Extended rollout (potentially longer than 15 days for feature visibility) starting on January 11, 2023 
  • Scheduled Release domains: Gradual rollout (up to 15 days for feature visibility) starting on February 3, 2023

Updated experience for exporting your organization’s data

Google Voice Standard customers can assign phone numbers in other Voice countries in their region 
Google Voice customers on the Standard subscription in Canada, Europe and the US can assign phone numbers to any supported country in their region:
  • Customers in Europe can assign phone numbers in supported European countries
  • Customers in Canada and the US can assign phone numbers in both countries
This change gives our customers on the Standard SKU the flexibility to deploy Voice across the different countries they operate in within the same region. | Available for Google Voice Standard customers only. | Learn more.


More filter effects available for Google Meet
Google Workspace users can now access a variety of new filter effects on Google Meet on the web and mobile. These filters, such as loghead, strawberry, and working bunny, can help bring an element of fun to meetings. | Learn more.

We’re expanding an existing mobile feature to the web that helps you find exactly what you’re looking for much faster using search chips that filter your search results. | Learn more.

Quickly refine search results in Google Chat with search chips

What’s changing 

We’re expanding an existing mobile feature to the web that helps you find exactly what you’re looking for much faster using search chips that filter your search results. 

The filters available to help you find messages are: 
  • From: Messages sent from specific people. 
  • Said in: Messages said in a specific conversation or space. 
  • Date: Messages sent during a specific date range. 
  • Has file: Messages that include documents, spreadsheets, slides, and more. 
  • Has link: Messages that include links. 
  • Mentions me: Messages that mention you. 

Getting started 

  • Admins: There is no admin control for this feature. 
  • End users: 
    • To find a specific message with the help of search filter chips: type your keyword(s) in the search bar in chat.google.com or Chat mobile app > hit enter. On the search results page, you can see the filter chips above the results > click on a filter chip to apply the filter on the search results. 
    • For Chat in Gmail, type your keyword(s) in the search bar > navigate to the “messages” tab on the search results page > you can see the filter chips above the results > click on a filter chip to apply the filter on the search results. 
    • Visit the Help Center to learn more about searching for Google Chat messages.

Drag content from Google Slides into other apps on Android
Over the last several months, we’ve added numerous new features and functionality to products like Google Drive, Docs, Sheets, Slides, and Keep on Android devices. This week, we’ve launched the ability to easily drag text and image content from Google Slides into other apps on Android. | Learn more.

Improving drag & drop on the Google Drive Android app
Earlier this year, we launched drag & drop in Drive, allowing you to quickly upload files by dragging and dropping them into the app. This week, we’re improving this feature by enabling you to also drag & drop files and folders around in your Drive to move their location as you see fit. This can be done either in the two-window view or in the single app view. | Learn more. 


Full mouse support now available on Google Docs Android App
Expect full mouse support while using Google Docs on Android that will mirror mouse behavior on the web. For example, clicking and dragging across text will now select that specific text instead of panning the entire document.

Concentrate or disconnect with scheduled Do Not Disturb on Google Chat
You can now set a recurring schedule so you are not disturbed by Chat notifications on web, Android, and iOS. | Learn more. 


Use Access Approvals to control data access during support or maintenance 
This week, we introduced Access Approvals, which builds on Access Transparency and Access Management. Access Approvals allows customers to explicitly approve or deny Google employees access to data during support and general maintenance. Access approvals will be rolling out over the course of the next several weeks. | Access Approvals is part of Google Workspace Assured Controls, which is available as an add-on for Google Workspace Enterprise Plus customers only. New Consolidated Controls Page for Google Takeout
Beginning November 15, 2022, admins can manage Takeout settings from a new consolidated controls page, located at Admin console > Account > Google Takeout > User access to Takeout for Google services. We anticipate the new page to be fully rolled out within the next few weeks. | Learn more. 


Sharing suggestions in Google Drive make collaborating easier
We've made it easier to share files with the people you typically share with in Google Drive. With this feature, suggested recipients will appear in the sharing dialog to speed up collaboration across your organization. | Learn more.

Concentrate or disconnect with scheduled Do Not Disturb on Google Chat

What’s changing

In addition to setting a custom duration for “Do Not Disturb” in Google Chat, you can now set a recurring schedule so you are not disturbed by Chat notifications on web, Android, and iOS. 

This is useful when you want to mute notifications during your regular lunch break, or have “Do Not Disturb” set automatically over the weekend while away from your desk. We hope this feature enables you to better concentrate without Chat distractions or help you disconnect entirely from work when needed.

Words whose spelling is not recognized will now be underlined in red, even if there is no suggestion. When you click on such a word, you'll see it labeled as an "unknown word" -- from here you can choose to add the word to your personal dictionary or ignore the suggestion. This improvement will highlight more potential spelling errors - helping you write correctly and with confidence. Note that this feature is only available in English at this time. | Learn more. 
Improved hearing aid support for Google Meet on Android
We’ve expanded Google Meet hearing aid support on Android devices to recognize a wider variety of hearing aid devices. Meet will automatically default to using hearing aid support when they’re connected. You can also select hearing aids during a meeting from the audio settings menu. If the hearing aid has a built-in microphone, this microphone will be used. If it doesn’t the mobile phone or tablet microphone will be used.
