New color categorization in Calendar to better understand how you’re spending your time

Quick summary

In 2021, we launched Time Insights, a feature that gives you the ability to better understand how you’re spending your time in Google Calendar. Starting today, you can categorize your time by naming and assigning a corresponding color label to an event within Time Insights in Calendar. 

We hope this customizable breakdown feature will allow you to more easily track time spent on specific activities or strategic areas, such as project work, staff meetings, or meetings with specific colleagues and stakeholders. 



Getting started 

  • Admins: This feature will be ON by default and can be disabled at the domain/OU level. Visit the Help Center to learn more about turning Time Insights on or off for your organization. 
  • End users: 
    • To create a color label in the Time insights panel, navigate to Time breakdown > select By color > click on Add a Label. 
    • To add a color label to an event, right-click on the event in your Calendar grid. Alternatively, click Edit > change the event color. 
    • To see your Time Insights, click on Time insights in the left side panel > click on More insights. 
    • Visit the Help Center to learn more about Time Insights in Calendar.

  • Rapid Release domains: Extended rollout (potentially longer than 15 days for feature visibility) starting on August 16, 2022

Granular controls for app allowlisting in the Google Workspace Marketplace 
Admins can now choose which Google Workspace Marketplace apps are available to be installed by users in a particular department (OU) or group by managing Marketplace apps on their allowlist. Previously, admins could only manage the allowlist for an entire domain. Additionally, the Marketplace apps access settings, Allow all apps, Allow selected apps, and Block all apps, can now be set for your entire organization or for an OU or group. This new functionality provides a solution when only a subset of domain users need permissions to install certain Marketplace apps. Examples include Chat apps required for your Engineering organization and IT security group or Classroom add-ons required for high-school teachers. | Available to Business Starter, Business Standard, Business Plus, Enterprise Essentials, Enterprise Standard, Enterprise Plus, Education Fundamentals, Education Plus, Frontline, Nonprofits, and legacy G Suite Basic and Business customers only. | Learn more.

Better location context for events and RSVPs in Calendar

Quick summary

We’re making it even easier to use RSVPs in Google Calendar and let others know how you’re planning to join a meeting. 

You can now select a RSVP join method that’s powered by your working location, whether that’s joining in a particular meeting room or virtually. With the new RSVP option, Calendar will automatically update how you intend to join the meeting if your working location changes. In addition, your colleagues will now see your working location or out of office status directly in the guest list section of a Calendar event. 

We hope this feature improves the way you and your colleagues utilize your planned working location for meetings and events, especially in a hybrid work environment.

What’s changing


Now you’re able to select a specific office building as your working location. The office building is taken into account for meeting room suggestions, and helps colleagues better understand where you plan to work from on a given day.

Whether you’re suggesting a meeting room to your colleagues or want to know where someone might be working for the day, we hope this update makes planning in-person collaboration easier.


Additional details 

With this new feature, those who manage the calendars of others, such as Executive assistants, will also be able to update the working location of that calendar as long as they have access to make changes and manage sharing.


Getting started 

  • Admins: Working Location must be enabled for your organization in order to access this feature. Additionally, structured office buildings must be set in the admin console. Visit the Help Center to learn more about turning working location on or off for your organization.
  • End users: If enabled by your admin, you can select a structured building by choosing one of the following options:
    • Click on your Calendar schedule right under the date, navigate to the “Working location” tab > “Choose a location” > click the "+" icon > "Another office" > select your office building. 
    • Go to "Working hours & location" in your Calendar settings. Under the working location dropdown > click "Another office" > select your office building.
    • Visit the Help Center to learn more about setting your working hours & location.

Support for two simultaneous calls now available on Google Voice 
As part of our efforts to further improve our core calling features, Google Voice now offers the ability to place or receive a second call when you are on an ongoing call. You can quickly decide if you would like to take the second incoming call by placing the current call on hold or by hanging up the current call. The new integrated view is now the standard experience for Gmail 
At the beginning of 2022, we announced a new integrated view for Gmail, bringing critical applications like Gmail, Chat, and Meet in one unified location. By August 5th, users who have not opted-in will begin seeing the new experience by default, but can revert to classic Gmail via settings. Within the next two months, this will become the default experience with no option to revert back. Working Location enabled by default

Earlier this year, we announced an improved user interface for sharing your working location in Google Calendar. Starting today, you will be able to set your working location without having to first enable this feature in your Calendar settings. 


Getting started 

  • Admins: Working Location is ON by default and can be disabled at the domain or OU level. Current settings for your domain will remain the same unless updated in the Admin console. Visit the Help Center to learn more about turning working location on or off for your organization. 
  • End users: Unless disabled by your admin, this feature will be ON by default. There will be no major visual changes to your calendar unless you set your working location. Visit the Help Center to learn more about setting your working location. 

Rollout pace 

  • Rapid Release domains: Gradual rollout (up to 15 days for feature visibility) starting on July 26, 2022

Rollout improvements for future Google Chat launches

You can now select an option to display events on your calendar only if they come from a sender you know to help keep your Calendar free from spam. | Learn more. 

Live stream Google Meet events via YouTube

Prevent spam by adding invitations from known senders only to your calendar

Quick summary

To help keep your Google Calendar free from spam, you can now select an option to display events on your calendar only if they come from a sender you know. If you select this option, you still get email event invitations from unknown senders, but they appear on your calendar only after you accept.

Senders you know include:
  • People in your same company domain (like @google.com)
  • People in your contacts list
  • People you’ve interacted with before
As before, you can also choose to have all invitations appear on your calendar, or only those you’ve accepted—letting you customize the display to best meet your needs. 



Additionally, admins can set the default reply option for their users in the Google Admin console. Note that end users can indicate their preference in their own Calendar settings.

Better sharing options for appointment schedules 
We’ve made it easier to share appointment schedules on web through a new Share button. This update allows appointment hosts to copy a short link to all appointment schedules or a specific booking page, and add HTML to embed a booking page on their website. | Available to Google Workspace Business Standard, Business Plus, Enterprise Standard, Enterprise Plus, Education Fundamentals, Education Standard, Education Plus, the Teaching and Learning Upgrade, and Nonprofits customers only. | Learn more. 

Use Miro within Google Meet for an immersive and collaborative whiteboard experience 
You can now leverage Miro, a third party online whiteboarding app, for ideating and problem solving as a group in Google Meet. | Learn more. 

Trust rules for Google Drive are now available in open beta 
The closed beta we announced in 2021 for trust rules in Google Drive that gives admins more control over how files can be shared, both within and outside of their organization, is now available as an open beta. | Available to Google Workspace Enterprise Plus, Enterprise Standard, Education Plus, and Education Standard customers only. | Learn more.
