Pre-configure the Google Workspace apps admin setting for the Gemini app ahead of general availability

What’s changing

Workspace apps (formerly known as Workspace Extensions) for the Gemini app will soon transition from open beta to general availability. We know that switching between apps to complete tasks can be tedious and time consuming, so with Gemini now able to connect across your apps, like Gmail, Docs, Calendar, and Drive, it can provide more context to your prompts and help you be more productive. 


Generative AI > Gemini App > Apps > Allow access to Workspace apps after beta (upcoming general availability)


As part of this transition, we will turn the Workspace apps admin setting ON by default. We expect general availability to begin rolling out by the end of April 2025. Starting today, admins can decide whether access is ON or OFF when the feature becomes generally available using the new “Allow access to Workspace apps after Beta (upcoming general availability)” setting.

Providing the admin setting ahead of general availability provides admins time to review their configuration ahead of the launch:

  • No action is required if you want Workspace apps to remain “ON” for users with the Gemini app enabled.
  • If you do not want your users to access Workspace apps in the Gemini app or have custom settings at the user, group, or organizational unit (OU) levels, please configure the “Allow access to Workspace apps after Beta (upcoming general availability)” setting as soon as possible.

Additional details

  • Workspace apps are only available to users 18+.
  • Google Workspace apps honors access control settings for files within Drive, meaning users can only access files that they own or have been shared with them (excluding files shared via Shared Drive).
  • Your use of Gemini with Workspace apps is governed by your organization’s Workspace agreement, including the Cloud Data Processing Addendum. Your chats and uploaded files in Gemini app won’t be reviewed by human reviewers or otherwise used to train generative AI models without your permission. Refer here for more detail.
  • The beta setting, “Allow access to Workspace apps in Beta (current phase)”, will be removed from the admin console once the feature becomes generally available.
  • Workspace apps are not available to Google Workspace users accessing Gemini as an additional Google service.
  • This update does not impact your current Gemini app service setting.

  • Admins: Review and update the Workspace apps setting before the general availability expected to begin at the end of April. Visit the Help Center for more information on turning Workspace apps in Gemini on or off.
  • End users: If enabled by your admin, connecting Google Workspace allows users 18 and older to summarize, get quick answers, and find information from apps and services like Gmail, Docs, and Drive directly in Gemini. Visit the Help Center to learn more about using Google Workspace apps.

Introducing Audio Overviews, now available in the Gemini app

What’s changing

Leveraging the same technology that powers NotebookLM’s Audio Overviews, Gemini app users can now generate podcast-style conversations based on documents, slides, and Deep Research reports. Upload files about topics you want to explore and enjoy dynamic discussions between two AI hosts with unique perspectives.



To create an Audio Overview, simply upload documents or slides on a variety of topics and click the suggestion chip that pops up above the prompt bar. You can listen to these AI-generated discussions to gain new insights and stay informed, even while multitasking. Audio Overview is accessible on the web and in the Gemini mobile app, and you can easily download them to listen on the go.

Audio Overviews enhance learning in a delightful and productive way. Upload class notes, lesson plans, research papers, lengthy email threads, or reports generated by Deep Research and receive an Audio Overview to help summarize your files!

  • Currently, Audio Overviews is not available to Workspace customers who’ve signed the HIPAA Business Associate Amendment (BAA).

Gemini 2.5 Pro Experimental now available in Gemini Advanced
We’re pleased to announce that Gemini 2.5 Pro Experimental is now available for Gemini Advanced users. 2.5 Pro Experimental is our most intelligent model yet and can apply an extended amount of thinking across complex tasks and prompts in order to maximize response accuracy. Additionally, 2.5 Pro Experimental also shows strong reasoning and code capabilities, leading on common coding, math and science benchmarks. Experimental models now available to Google Workspace users in the Gemini mobile app 
In addition to 2.0 Flash, Google Workspace users with access to Gemini Advanced can now choose between several models on mobile, including: 
  • 2.0 Flash Thinking (experimental) which uses advanced reasoning and is best suited for multi-step reasoning, like project planning. 
  • 2.5 Pro (experimental) which is best for complex tasks and can apply an extended amount of thinking across complex tasks and prompts in order to maximize response accuracy Rollout to

Local file upload now available to Google Workspace users in the Gemini mobile app

    Try Canvas, a new way to collaborate with the Gemini app

    What’s changing

    Starting today, you can create, format, and refine your documents or code in Canvas, a new collaborative space in Gemini. 


    Generate and iterate on first drafts: after generating a first draft in Canvas, you can rapidly refine and ask Gemini for feedback to suggest edits. Update specific sections or the whole draft, and use the quick editor tools to change the tone, length, or formatting. From essays to blog posts to reports, up-level your documents in Canvas. If you want to collaborate with others on the content you just made, you can export it to Google Docs with a click.




    Generate & iterate on code: Easily convert your ideas into working prototypes for web apps, code snippets and scripts, and more. Ask Gemini to generate & preview React or HTML code directly in Canvas in a familiar code editor, and review Gemini's changes on each turn.



    Canvas is available globally across all Gemini-supported languages.

    • Currently, Canvas is available on web (gemini.google.com) for Google Workspace business and education users. We’re planning to support Canvas in the Gemini mobile app for these users at a later date.

    Updates to the attachment menu in the Gmail app
    We’ve updated and added new attachment options to the Gmail app on Android and iOS devices.
    • On Android, in addition to the current options for attaching a file or inserting an item from Drive, you’ll now notice a dedicated menu item for Camera.

    • On iOS, we recently replaced the attachment sheet that previously appeared at the bottom of your screen after clicking the attachment icon. Now, iOS users will see a menu experience similar to the one on Android devices that includes: Photos, Camera, Files, and Drive.

    Additional accessibility tags for Tables, Equations, and Checkboxes in PDFs exported from Google Docs
    Last year, we added structural and accessibility tagging in PDFs exported from Google Docs to improve the ability for users with screen readers and other assistive technology to read and navigate PDFs. We’re building upon this by introducing support for tables, equations, and checkboxes.     2.0 Flash Thinking Experimental model upgrades in the Gemini app and Deep Research              We’re pleased to announce that an improved version of Gemini 2.0 Flash Thinking Experimental will become available to Gemini app users. Built on the foundation of 2.0 Flash, this model delivers improved performance and better advanced reasoning capabilities with efficiency and speed. Gemini Advanced users will also have access to a 1M token context window with this model.

    Additionally, we're upgrading Gemini Deep Research to use the 2.0 Flash Thinking Experimental model. With advanced reasoning from 2.0 Flash Thinking Experimental, Gemini is even better at all stages of research from planning to delivering even more insightful and detailed reports.

    In September 2024, we communicated that we now require admins who have Additional Services enabled for users under the age of 18 to re-review them on an annual basis.
