Google Workspace Updates Weekly Recap – December 1, 2023

3 New updates

Unless otherwise indicated, the features below are available to all Google Workspace customers, and are fully launched or in the process of rolling out. New ways to use the Google Sheets app on iOS devices 
You can now copy charts from the Google Sheets app on all iOS devices and paste them externally as images or within the same spreadsheet as a duplicate chart. Adding ‘Admin managed apps’ category to Google Workspace Marketplace
We’re excited to announce a new featured app category in the Marketplace: Admin managed. These Enterprise apps can be installed only by a Google Workspace administrator for their organization. | Available now to all Google Workspace customers. | Learn more about Featured app categories. 


Bulk select in Gmail on Android and iOS devices 
We’re introducing a feature that enables you to bulk select a batch of messages in the email threadlist with one tap using the Gmail app on Android and iOS devices. After clicking the select all icon, a batch of messages will be selected, enabling you to easily perform email actions such as deleting multiple messages or marking them as “read”. | This feature is available now on Android devices and is rolling out now to Rapid Release and Scheduled Release domains on iOS devices. | Available to all Google Workspace customers and users with personal Google Accounts.

Updates to the Google Drive scanner on Android & iOS devices 
We’re introducing additional enhancements to the Drive scanner on Android devices, which now powers the Google Pixel camera and includes improvements to the scanner experience when capturing content. Introducing a new homepage view in Google Drive 
We’ve added a new streamlined homepage for Drive called Home that makes it easier and faster for you to find files that matter most. | Learn more about Drive home. 

Introducing a new mobile experience for Google Chat 
We recently announced a streamlined user experience in Google Chat to help you find what you need much faster, including new features like home and mentions. Google Vault now supports Google Calendar 
Google Vault now supports Calendar, which means customers can take new actions around Calendar data. | Available to Google Workspace Business Plus, Enterprise Essentials, Enterprise Essentials Plus, Enterprise Standard, Enterprise Plus, Education Standard, Education Plus customers or customers with the Vault add-on license only. | Learn more about Vault supporting Calendar. 

More insights to help admins troubleshoot Google Meet hardware issues 
In 2022, we introduced several improvements for managing Google Meet hardware devices. These improvements included surfacing additional information about device issues, such as a description of the issue, when the issue was detected, and more. Monitor insider risk of Google Workspace data with Chronicle 
Admins can now more seamlessly integrate their Google Workspace data with Chronicle (Google’s cloud-native Security Operations platform), to quickly detect, investigate and take action on risky activity and threats. | Available to Google Workspace Enterprise Standard and Enterprise Plus customers only. | Learn more about Chronicle. 

Google Classroom now supports roster import from SIS partners
Educators can now easily import students from their student information system (SIS) to Google Classroom using OneRoster. Enhancing Google Drive usability on large screen Android devices 
Building upon improvements to the Google Workspace experience on large screen Android devices, we’re excited to announce additional enhancements that bring our tablet experience more inline with our web experience. Specifically, you'll notice: 
  • Above the main doclist, users will now see a tappable folder hierarchy for their current view. This allows a user to keep track of where they are in Drive and easily navigate out of nested folders. 
  • Per-file data columns to show when a file was last modified and how much storage is used by each file. 
  • A color palette that matches the Google Material Design 3 guidelines.

Enhancing Google Drive usability on large screen Android devices
Expanding Google Drive log events to additional Google Workspace editions 
Drive log events, a feature that enables admins to access an audit and investigation page to run searches related to Drive log events, is now available for Google Workspace Cloud Identity Free and Cloud Identity Premium editions. | Rolling out now to Rapid Release and Scheduled Release domains at an extended pace (potentially longer than 30 days for feature visibility). | Learn more about Drive log events. 


Easily convert hyperlinked text to smart chips using the tab key in Google Sheets 
Building upon the tab to convert feature in Google Sheets, when your hyperlinked text matches the text of a smart chip in Sheets, you will now be prompted to convert an inserted file, people, calendar event, Youtube or place link into a smart chip. For example, if the hyperlinked text is a file name, Sheets will automatically recommend converting it to a file chip. | Rolling out now to Rapid Release and Scheduled Release domains at a gradual pace (up to 15 days for feature visibility). | Available to all Google Workspace customers and users with personal Google Accounts. | Learn more about inserting smart chips in Google Sheets. 
Easily convert hyperlinked text to smart chips using the tab key in Google Sheets
More languages available for Google Meet captions 
You can now use captions in Google Meet in Finnish & Hebrew. You can use captions to view subtitles as everyone speaks during a meeting — captions are only visible to you. Note that because this is a newly supported language, it will be denoted with a “beta” tag as we continue to optimize performance. See our Help Center for a complete list of supported languages for captions in Meet. We’ve also removed the “beta” tag from the following languages, as they have been validated and are out of beta:

Improved toolbars in the Google Docs, Sheets and Slides apps on Android devices 
We’re introducing enhanced toolbars in the Google Docs, Sheets and Slides apps that are optimized for Android tablets and foldables, and ultimately improve the editing experience across the apps. 
  • In Docs, there is a new mode switcher that allows you to switch between editing, suggestion, and viewing modes. 
  • In Slides, you will have access to an ever-present toolbar while in editing mode. 
  • In Sheets, a cell will be selected by default upon opening the app.

A redesigned navigation panel brings direct messages and spaces together and introduces shortcuts, a new framework to help you stay on top of your messages. To reduce friction while navigating between messages, home helps you quickly catch up on any new activity across all conversations in a single location. Filter by people or groups in Google Drive 
We’re adding a new filter to Google Drive that lets you see which files or folders have been shared with specific people or groups. | Learn more about filters in Drive.

Improvements for scheduling large scale meetings on the web
We’re making several changes which will make scheduling large scale meetings (up to 100k guests per event) easier and guide schedulers through the process with more context. Once you’ve created and saved a Calendar event which contains a large group of attendees, you can open the event to check on the invitation progress. | Learn more about large scale meetings in Calendar.

Introducing a new homepage in the Google Drive app 
We’re updating the homepage of the Google Drive mobile app on Android and iOS mobile devices to help you more easily find the right file much faster. An updated suggested view will allow you to see even more recommended files at once, such as those that have been recently opened, shared or edited. For recorded meetings in Google Meet, we’re increasing the maximum resolution for shared content from 720p to 1080p. Allow users to install and run any internal app from Marketplace

Review and approve your Contacts delegates by November 12, 2023 
In May 2023, we announced several changes for Contacts delegates, specifically that they will be able to update labels and manage “Other” contacts. We’d like to share an updated timeline for this change and provide additional clarity around what’s required of users. New view in Google Drive shows recent activity in one place

Improved paste values experience in Google Sheets 
Previously, when pasting a number in Google Sheets using Paste special > Values only, the content pasted was only the text from the original range of cells. For example, for the date 9/21/2023, paste values only would paste the date serial number of 45190. To improve upon this feature, the default for paste values for numbers will include values and the number format, meaning all of your numbers will retain their formatting as you are working in Sheets. | Available now to all Google Workspace customers and users with personal Google Accounts.

Different certificates for signing and encrypting messages in Gmail 
If your organization uses different certificates for signing and encrypting messages, you can now use the Gmail CSE API to upload different encryption and signature public certificates for each user. | Rolling out to Rapid Release domains now; launch to Scheduled Release domains planned for October 9, 2023. | Available to Google Workspace Enterprise Plus, Education Plus, and Education Standard customers. | Visit the Help Center to learn more about using the Gmail CSE API to manage user certificates. 


Allow certificate mismatches for client-side encrypted messages 
In some cases, the email address associated with a user’s certificate might be different from their primary email address — this is known as a certificate mismatch. Admins can now opt to allow certificate mismatches, which means their end users will be able to decrypt and read messages with a mismatch. It should be noted that we recommend allowing certificate mismatches only when this feature is absolutely required for our organization. | Rolling out to Rapid Release domains now; launch to Scheduled Release domains planned for October 9, 2023. | Available to Google Workspace Enterprise Plus, Education Plus, and Education Standard customers. | Visit the Help Center to learn more about allowing certificate mismatches for client-side encrypted messages in Gmail.

Additional space manager capabilities in Google Chat 
We’re adding two new controls to the list of space manager capabilities in Google Chat that were introduced earlier this year to ensure effective conversations take place in spaces. Easily link to a specific message in Google Chat

Easily add or remove groups of members to a space in Google Chat 
We’re introducing a new app for Google Chat called Bulk Member Manager that enables space managers and space members, who have permission to manage members, to easily add or remove members to or from a space in bulk. | Learn more about the Bulk Member Manager app. 

The next phase of digital whiteboarding for Google Workspace 
In late 2024, we will wind down the Jamboard whiteboarding app as well as continue with the previously planned end of support for Google Jamboard devices. | This update impacts all Google Workspace customers who use the Jamboard app or 55-inch Jamboard device. | Learn more about the winding down of the Jamboard whiteboarding app. 

Updates regarding the transition from spaces organized by topic to in-line threading in Google Chat 
In 2022, we introduced in-line threading for Google Chat and since March 2023, all newly created spaces in Google Chat are in-line threaded by default. On September 30, 2023, we will begin taking the next step toward a single, streamlined flow of conversation in Google Chat: all existing spaces organized by conversation topic will be upgraded to the in-line threaded experience. Client-side encryption in Gmail is now available on mobile devices 
We’re expanding client-side encryption in Gmail to Android and iOS devices, so you can read and write encrypted messages directly from your device. | Learn more about client-side encryption in Gmail on mobile devices.

Beginning September 30, 2024: third-party apps that use only a password to access Google Accounts and Google Sync will no longer be supported 
Google Workspace will no longer support the sign-in method for third-party apps or devices that require users to share their Google username and password. | Learn more about Access to Less Secure Apps (LSA).

Insert links in the Google Sheets app on iOS devices 
We’re adding the ability to insert a hyperlink into a cell in the Google Sheets iOS app by selecting a cell > clicking “+” in the top left corner > Insert > Link. If a cell contains a link, you’ll see options to edit or remove the link. | Available to all Google Workspace customers and users with personal Google Accounts. | Visit the Help Center to learn more about working with links & bookmarks.

Enhanced spam protection through automatic labeling of suspected spam messages in Google Voice 
If you're using Google Voice, you're familiar with our suspected spam caller warnings. We're extending this feature to SMS messages on Android and iOS devices. You'll see these labels within the message, and you can either: 
  • Confirm a suspected spam message, which causes future messages from that number to go directly into the spam folder. 
  • Mark a labeled message as not spam, after which the suspected spam label is never displayed for that number again. 
Available to Voice Starter, Standard, and Premier customers, as well as users with personal accounts in the US. | Rolling out now to Rapid Release and Scheduled Release domains at an extended pace (potentially longer than 15 days for feature visibility).

Birthday decorations for people cards 
In Google Contacts and across various Google Workspace products, you’ll begin to notice birthday decorations when hovering over another user’s people card. Add an organizational unit as an attribute in your external directory 
When using Directory Sync, you can now place users from the Azure Active Directory or Active Directory to a specific organizational unit on the Google Workspace side. To do so, you’ll need to add an organizational unit as an attribute in your external directory. Unless otherwise indicated, the features below are available to all Google Workspace customers, and are fully launched or in the process of rolling out. Expanding autocorrect to Google Chat on web 
Google Chat on web will now automatically correct misspelled words, making it easier to send messages without typos. Similar to functionality in Gmail and Google Docs, the corrected words are shown with a gray underline so you know when the auto-correction has occurred. | This feature is rolling out now to all English users.

Expanding streamlined file organization across Google Workspace 
Earlier this year, we introduced streamlined file organization with the new Google Drive location picker. As a follow up, we're expanding this updated visual experience to Google Docs, Sheets, Slides, Drawings, Sites and Gmail. Updated zoom in/out capabilities across Google Docs, Slides and Drawings
We’re introducing new zoom keyboard shortcuts in Google Docs and Slides on web to help you zoom in, zoom out, or scale to 100%. Dynamic groups now supports negation queries 
You can now create or edit dynamic groups to use negation in membership queries. For example, you can opt to create a dynamic group that excludes all users from a particular sub organization or specific job title. Lock files more easily in Google Drive 
We’re adding the option to lock Drive files by right-clicking the file, selecting “File information”, and clicking “Lock”. Locking a file makes sure reviewers can’t change a file. Edits, comments and suggestions can't be added to locked documents. | Learn more about locking files in Drive.

Increased row limits in Connected Sheets for BigQuery 
We’re increasing the maximum number of rows of results returned from BigQuery for pivot tables and for data extracts. Increased row limits in Connected Sheets for BigQuery

What’s changing

Connected Sheets provides the power and scale of a BigQuery data warehouse in the familiar context of Google Sheets. Starting today, we’re increasing the maximum number of rows of results returned from BigQuery for pivot tables and for data extracts: 
  • Pivot tables have been expanded to 50,000 rows (previously 30,000) 
  • Data extracts have been expanded to 50,000 rows (previously 25,000) 
With the increase in row limits, you can now analyze even more rows of results in Sheets from the petabytes of data in BigQuery. Additionally, we’ve made performance improvements for pivot tables and extracts in Connected Sheets, including updates to creating a pivot table, deleting an extract, cut/copy/pasting data in a pivot table, inserting a row, deleting a column, and more.

Import and convert sensitive Excel files into client-side encrypted Google Sheets

What’s changing

Launching in open beta, you can now import and convert sensitive Excel files into Google Sheets with client-side encryption. Your encrypted Excel file won’t be changed, even as you change the encrypted Sheets file.

In Google Sheets, navigate to File > Import.


Additional details

With this release:
  • You can only import encrypted .xslx Excel file types. Additional Excel and tabular file types are not supported.
  • During import, unsupported Excel features in Sheets will be ignored.
  • The maximum file size is 20MB.
  • The maximum number of cells that can be imported is 5 million.

  • End users: 
    • To use the Help me organize feature, write a description of what you need in the sidebar > click Create > View the generated table preview. 
      • Note: You must write a minimum of 2 characters in the sidebar. The maximum number of characters is 150. 
    • The Help me organize sidebar is surfaced for any empty tab (new or existing Sheets files). 
    • You can re-open Help me organize from the insert menu or the toolbar via a new icon. You can also re-trigger the sidebar when adding a new tab.
