New setting for content managers to modify shared drives now on by default

What’s changing

Last December, we announced an upcoming shared drive setting for content managers to modify shared drives. Starting today, all content managers will have the ability to share folders by default, in addition to their current capabilities of editing, reorganizing, and deleting shared drive content.

Why it matters 

Enabling content managers to share folders is a highly requested feature that will help organizations better manage access to their data. 


Additional details 

Only newly created shared drives will automatically inherit the new default setting based on the admin preferences. All existing shared drives will keep the old behavior, and can be updated as needed.


We’re also introducing a new Drive API method that allows developers to update the new setting for content managers to modify shared drives programmatically. For example, if you wanted to change the setting for a large number of your existing shared drives in bulk, you could write and run a script to do so or use the GAM command line tool.

    • This setting is currently ON by default. To disable the setting for content managers to share folders, go to the "Sharing settings" in the Drive and Docs section of the Admin Console > scroll to the "Shared drive creation" section > change the "Allow content managers to share folders" setting to OFF.

Changing the POWER function in Google Sheets
The POWER function, which returns a number raised to a power, will now return a real-valued root when trying to take the odd root of a negative number. | This feature is available now for all users. | Learn more. 
New free-hand PDF annotation support in the Google Drive app on Android
You can now use your finger or a stylus to freely write annotations on a file shown in the Drive preview screen on Android devices. These annotations can be saved to the file if it is a PDF, or a PDF copy of the file can be made with the annotations saved to it. | Learn more.

Expanding SIP Link for Google Voice to Latin America

Google Vault support for client-side encrypted emails
Vault now supports retention, search, and export of client-side encrypted emails. Note that admins can't preview the email body and attachments, including inline images — they’ll only be able to see the subject line, sender, and receiver.

Google Workspace already uses the latest cryptographic standards to encrypt all data at rest and in transit between our customers and Google facilities. Client-side encryption helps strengthen the confidentiality of your data while helping to address a broad range of data sovereignty and compliance needs. Admins can use the Help Center to learn more about client-side encryption and encrypted emails in Vault. End users can use the Help Center to learn more about setting up client-side encryption for Gmail.

Set and share personal pronouns across Google Workspace products
Google Workspace admins can now give their users the option to set their pronouns and choose who can see them from their Google Account at aboutme.google.com. 

This is opt-in only and can be enabled for all users or a subset of them (such as for a specific location or department). Admins can use this Help Center article to learn more about enabling this feature for their users.
User-defined pronouns will appear in personal information cards displayed when hovering over or clicking someone’s profile photo across Workspace apps like Gmail, Calendar, Docs, Sheets, Slides, Chat, and Drive. Support for pronouns in Google Meet will roll out in the coming months. Pronouns will also appear in Google Contacts, accessed by clicking “Open detailed view” from the personal information cards. If enabled by their admin, end users can use this Help Center article to learn more about changing their pronouns in their Google Account settings.

If enabled by the admin, users can set pronouns from aboutme.google.com and specify who they are visible to.

New beta to move folders from My Drive to shared drives now available

What’s changing

Following the announcement of an improved admin experience for moving folders from My Drive to shared drives, we’re introducing a beta that will allow end users to move folders from My Drive into shared drives. 


Eligible Workspace editions can apply for the beta here.

Why it matters 

Extending the capability for end users to move folders from My Drive into shared drives increases the flexibility of sharing and helps to avoid permission escalations. 


Additional details 

We’re also updating My Drive and shared drive roles to create a more seamless experience when it comes to members and access levels. Currently, when an admin moves a folder from My Drive into a shared drive, all folder Editors are converted to Contributors by default. Starting today, when an admin or an end-user (opted into this beta), moves a folder from My Drive into a shared drive, Editors will be converted into Content managers. This update will lead to the retention of users' ability to organize content and share folders.

When your Google Doc is set to the pageless format, you can now pin one or more table rows as header rows. When you scroll vertically past the top of the table, the headers will remain visible at the top of the window until you scroll to the bottom of the table. | Learn more.

Easily share files in Google Meet chat on web 
Currently, when you share the link to a Google Drive file in Meet chat, you have to ensure the document is shared with those on the call, either proactively or reactively, on a separate screen. Starting this week, when sharing a file in Meet chat, you will now be prompted to update the file sharing permissions to reflect which meeting attendees you’d like to have access to a particular file, all within Meet. | Roll out to Rapid Release and Scheduled Release domains began December 5, 2022 at an extended pace (potentially longer than 15 days for feature visibility). | Learn more. 


Warning banners for external email recipients on iOS devices
Beginning today, you'll see a warning banner when adding external recipients to an email on iOS. These warnings are already available for Gmail on the web and Android devices. Note that admins can turn these specific warning labels on or off for their organization. | Roll out to Rapid Release and Scheduled Release domains began December 9, 2022 at an extended pace (potentially longer than 15 days for feature visibility). 


Improvements for using Miro in Google Meet
We've made two enhancements for the Miro experience within Google Meet:
  • Meeting participants will see a dialog invite instead of a chat message asking them to join a whiteboarding session.
  • Meeting hosts now have the option to end collaboration for the group as a whole. Alternatively, meeting participants will have the ability to leave the session individually.
We hope these improvements create a smoother collaborative experience when using Miro within Google Meet. | Learn more here and here.

In 2018, we launched the Content manager role, making it easier to manage files in shared drives. Currently, content managers have the ability to edit, reorganize, and delete shared drive content, but they cannot share folders in shared drives. 

Starting today, admins will see a new shared drive setting that can be enabled or disabled to give content managers the ability to share folders in shared drives. 

In February 2023, all content managers will have the ability to share folders by default. If you’d like this feature to remain off for end users, disable the setting now.

Improving drag & drop on the Google Drive Android app
Earlier this year, we launched drag & drop in Drive, allowing you to quickly upload files by dragging and dropping them into the app. This week, we’re improving this feature by enabling you to also drag & drop files and folders around in your Drive to move their location as you see fit. Full mouse support now available on Google Docs Android App
Expect full mouse support while using Google Docs on Android that will mirror mouse behavior on the web. For example, clicking and dragging across text will now select that specific text instead of panning the entire document.

Easily assign Tasks from Google Docs on mobile
Earlier this year, we made it easier for you to assign Tasks from Google Docs. This enables you to assign a checklist item to yourself or a colleague that will then show up in the assignee’s Tasks list. When edits are made to an assigned item in Tasks, such as a change to the title, due date or completion state, those updates will show in the Doc, and vice versa. We’re excited to announce that this is now available on the Docs Android and iOS apps. | Learn more here and here.

The new Gmail user interface is becoming the standard experience
At the beginning of 2022, we announced a new user interface and a customizable, integrated view for Gmail, bringing critical applications like Gmail, Chat, and Meet in one unified location. Trust rules in Google Drive now generally available
In July 2022, we announced an open beta for trust rules in Google Drive. Beginning today, this feature will become available for eligible Google Workspace customers. Trust rules give admins more control over how files can be shared, both within and outside of their organization. For example, admins can limit what specific departments can access versus other parts of their organization. What’s changing 

As we continue to expand Client-side encryption (CSE) across Google Workspace products, we’re introducing Key Migration which allows admins to enable additional key services or change their existing key service. In both cases, built-in controls ensure key migrations are performed safely, with support for backup key services and potential roll backs. These ensure encrypted data remains inaccessible to Google and fidelity is maintained through the migration process.

Why it’s important 

Client-side encryption gives admins direct control of their encryption keys and the identity service that they choose to authenticate for those keys. Google never has access to the keys, rendering the data indecipherable, which may help organizations meet regulatory compliance in many regions. 


This update gives admins the flexibility to perform key rotations that best suit their organizational policies—including having different key services —or resolve key service availability issues. Customers can add a new key, assign it to an organizational unit or group and migrate any content encrypted by the previous key to be encrypted by the new key. During this migration process the new key is backed up by an existing key as a safeguard mechanism. Once customers are confident in their new key and have completed any migrations they can remove the backup key. 


Additionally, this release provides more granular control for our customers in maintaining their encryption keys by accommodating situations where they may choose to switch key service providers, move from on-premise to a managed service, and migrate encrypted content.
