Google Workspace Updates Weekly Recap – September 15, 2023

Insert links in the Google Sheets app on iOS devices 
We’re adding the ability to insert a hyperlink into a cell in the Google Sheets iOS app by selecting a cell > clicking “+” in the top left corner > Insert > Link. If a cell contains a link, you’ll see options to edit or remove the link. | Available to all Google Workspace customers and users with personal Google Accounts. | Visit the Help Center to learn more about working with links & bookmarks

Enhanced spam protection through automatic labeling of suspected spam messages in Google Voice 
If you're using Google Voice, you're familiar with our suspected spam caller warnings. We're extending this feature to SMS messages on Android and iOS devices. You'll see these labels within the message, and you can either: 
  • Confirm a suspected spam message, which causes future messages from that number to go directly into the spam folder. 
  • Mark a labeled message as not spam, after which the suspected spam label is never displayed for that number again. 
Available to Voice Starter, Standard, and Premier customers, as well as users with personal accounts in the US. | Rolling out now to Rapid Release and Scheduled Release domains at an extended pace (potentially longer than 15 days for feature visibility).

Birthday decorations for people cards 
In Google Contacts and across various Google Workspace products, you’ll begin to notice birthday decorations when hovering over another user’s people card. This small change can have a big impact on building deeper connections with your colleagues and stakeholders. Birthday decorations will be displayed on your birthday if you’ve added your birthday to your Google Account profile and you’ve set the information to be visible to others. | Available now for all Google Workspace customers and users with personal Google Accounts. | Visit the Help Center to learn more about your Google Account profile and what information others can see.

Add an organizational unit as an attribute in your external directory 
When using Directory Sync, you can now place users from the Azure Active Directory or Active Directory to a specific organizational unit on the Google Workspace side. To do so, you’ll need to add an organizational unit as an attribute in your external directory. This makes it easier to sync users who will be mapped to different organizational units on the Google Workspace side. | Directory Sync is available as an open beta to all Google Workspace customers. | Visit the Help Center to learn more about setting up users to sync based on an organizational unit attribute.

Expanding autocorrect to Google Chat on web 
Google Chat on web will now automatically correct misspelled words, making it easier to send messages without typos. Similar to functionality in Gmail and Google Docs, the corrected words are shown with a gray underline so you know when the auto-correction has occurred. | This feature is rolling out now to all English users.

Expanding streamlined file organization across Google Workspace 
Earlier this year, we introduced streamlined file organization with the new Google Drive location picker. As a follow up, we're expanding this updated visual experience to Google Docs, Sheets, Slides, Drawings, Sites and Gmail. Updated zoom in/out capabilities across Google Docs, Slides and Drawings
We’re introducing new zoom keyboard shortcuts in Google Docs and Slides on web to help you zoom in, zoom out, or scale to 100%. Additionally, you can now smoothly zoom in or out in Slides using the trackpad or mouse wheel with a modifier key (cmd/ctrl), making it easier to control your view of Slides. | Learn more about keyboard shortcuts for Docs and Slides

Expanded language support for captions in Google Meet 
Captions in Google Meet allow you to view captions as everyone speaks during a meeting. Over the course of the next several weeks, you’ll be able to use captions in more languages:

Dynamic groups now supports negation queries 
You can now create or edit dynamic groups to use negation in membership queries. For example, you can opt to create a dynamic group that excludes all users from a particular sub organization or specific job title. Lock files more easily in Google Drive 
We’re adding the option to lock Drive files by right-clicking the file, selecting “File information”, and clicking “Lock”. Locking a file makes sure reviewers can’t change a file. Edits, comments and suggestions can't be added to locked documents. | Learn more about locking files in Drive.

Increased row limits in Connected Sheets for BigQuery 
We’re increasing the maximum number of rows of results returned from BigQuery for pivot tables and for data extracts. Adding bulk conversion for place chips in Google Sheets
Earlier this year, we introduced a smart canvas feature that enables you to open a location directly in Google Maps and see a preview of the location or find directions when a Google Maps place chip is added to your Sheet. Starting this week, users can now convert links to place chips in bulk from the insert menu or cell menu. Reorganizing the file and folder menu in Google Drive
Earlier this year, we introduced a refreshed interface for Google Drive, Google Docs, Google Sheets, and Google Slides. Building upon this, when right-clicking a file or folder in Drive, you will now see a new menu format. While the menu functionality remains the same, we’ve reordered and renamed menu items, and also added new sub-menus.

Updated timeline for upgrading to the in-line threaded experience in Google Chat 
Earlier this year, we announced that existing spaces organized by conversation topic will be upgraded to the new in-line threaded experience by Q4 2023. We’d like to provide an update on that timing: 
  • The upgrade will start in September 2023 and is expected to be completed by the end of Q1 2024. 
Ahead of the upgrade, Google Workspace admins, partners, and resellers will receive an email with more information about what to expect before any changes are made to their experience. For more information, please refer to our previous announcement

Adding Gmail translation to mobile devices

Google Keep integration with Assistant available to all Google Workspace users 
If you’re using the Google Assistant with your Google Workspace device, you can set Google Keep as the default provider for your notes and lists. 6 New updates

Empty the entire trash folder of shared drives in Google Drive
In order to make it easier to manage shared drive files and eliminate the manual effort of removing items in the trash folder, we’ve added the ability to empty the entire trash folder of a shared drive. As a reminder, files and folders in Trash are deleted forever after 30 days. You can also delete files in Trash by selecting “Delete Forever”.

Linkable headings now available in Google Docs
To improve shareability of documents, especially longer ones, we’re adding the ability to copy links to headings in Google Docs. Simply, open a Google Doc on web > add a heading (type some content and set to “Heading 1”) > right-click the heading > click the “Copy heading link” button > paste the contents.

In 2021, we introduced people chips in Google Sheets. Insert emojis into Google Sites 
You can now create more engaging content on Google Sites with the new option to insert emojis directly into text boxes and headings. Simply, create or open a Site > click any textbox and the emoji button will be visible in the toolbar > select the emoji button > choose an emoji.

Set Context Aware Access policies for 1P & 3P applications to access Workspace APIs 
Admins can now use context-aware access to block or limit first and third party API access to Google Workspace applications. With context-aware access, you can set up different access levels to Workspace applications based on a user’s identity and the context of the request (location, device security status, IP address). A single Google group can be a member of 30,000 shared drives 
Previously, a single Google group could be added as a member to an unlimited number of shared drives. Including the Alt text option in the Image options sidebar of Google Docs, Sheets, Slides, and Drawings
Currently, users add alternative text to images in Google Docs, Sheets, Slides, and Drawings by right-clicking an image and selecting “Alt text,” which then opens a box for them to input the text. Starting this week, we’re making this feature more discoverable by adding it to the “Image options” sidebar.

Reminder: delegators must re-approve contacts delegates by August 2023 
In May 2023, we announced that delegated users can manage contact labels on behalf of their delegator via contacts.google.com. As part of this update, delegators need to review existing delegates, as well as add new delegates. This must be completed by July 31, 2023 or delegates will lose access to manage contacts. Admins can also make these adjustments for users in their domain using the Admin SDK API to remove and re-add the contacts delegate privilege. | Learn more about managing contact labels

Revamping the "First Open Experience" in Docs on Android devices 
Last week, we announced a more creation-focused experience when first opening the Sheets and Slides apps on Android devices. We’re extending this to the Docs app, which will now start in edit mode. Additionally, the formatting toolbar will be more visible, you will see an I-beam cursor, and tapping once exposes an on-screen keyboard unless a physical keyboard is attached.
