Google Workspace Updates Weekly Recap – June 30, 2023

3 New updates

Revamping the "First Open Experience" in Sheets and Slides on Android devices 
In addition to the recent announcement that documents on tablet and foldables will now be in paginated mode upon first open, there will now be a more creation-focused experience when first opening the Sheets and Slides apps on Android devices. For example:

In the Sheets app, there will be larger tap targets and tapping once exposes the formula bar, tab bar, and a contextual formatting toolbar.

In the Slides app, you will now see the filmstrip on the left-hand side and selecting an object exposes the contextual toolbar and an on-screen keyboard.

Paste HTML into document on Android 
In continuing our mission to provide a top-class user experience on large screen devices, we’re introducing the ability for users to paste copied HTML elements into a document on Android. You can now copy HTML elements to clipboard and paste the elements into a Doc, all while maintaining the formatting elements. 


Easily duplicate groups and objects in Google Sites 
Currently, Google Site editors can duplicate a section of their Site, and the duplicated section appears directly below the section it was duplicated from. Starting this week, we’re extending the duplicate feature by enabling you to easily duplicate objects (images, buttons, text boxes) and groups when editing a Site. | Learn more about adding or editing text & images in Google Sites

Quickly access more features during meetings, available for Google Meet on the web 
We’ve introduced a new quick action to access popular features in Google Meet. By hovering the mouse on top of your own video feed, you can access video effects such as immersive backgrounds or fun filters to bring more fun to your meetings and a reframing option to improve your visibility. | Learn more about features in Google Meet

Apply background blur when joining a call using a virtual desktop 
If you’re using a virtual desktop infrastructure (VDI) to join a Google Meet meeting, you can now use background blur and light adjustment. Background blur will intelligently separate you from the background, blurring your surroundings while keeping you clear and in focus. | Available to Workspace Business Standard, Business Plus, Enterprise Standard, Enterprise Plus, and Individual customers only. | Learn more about background blur in Google Meet. 

Google Sheets now integrated with mail merge in Gmail 
Mail merge will support Google Sheets in the web version of Gmail. This integration will allow you to link a Sheet with up to 1,500 recipients and use any data column from your Sheet as a mail merge tag. | Available to Google Workspace Business Standard, Business Plus, Enterprise Standard, Enterprise Plus, Education Standard, Education Plus customers and Nonprofits only. | Learn more about mail merge with Sheets in Gmail. 

Simplified access controls coming to Google Meet beginning July 17, 2023 
We’re introducing simplified controls for meeting access in Google Meet. These will replace the existing Quick access meeting settings and the admin setting to turn Quick access on or off by default will be removed. Use polls or Q&As during Google Meet live streams 
If you’re live streaming a video meeting, meeting hosts can now enable the Q&A and poll features, which previously were only offered in traditional Meet meetings. Making focus time more productive with new Google Calendar setting

See read receipts for messages in Google Chat group direct messages

Improvements for client-side encryption in Gmail

Google Sheets now integrated with mail merge in Gmail

What’s changing

Last year, we made it easier to send individual emails to many recipients with the launch of multi-send in Gmail, and introduced the ability to personalize multi-send emails with mail merge tags like @firstname and @lastname. 

Today, we’re excited to announce that mail merge will support Google Sheets in the web version of Gmail. This integration will allow you to link a Sheet with up to 1,500 recipients and use any data column from your Sheet as a mail merge tag.

With mail merge you can send more personalized and engaging emails to large audiences from web Gmail. 

Additional details 

With this update, mail merge will fully replace multi-send. We’re also moving the icon for mail merge from the main compose toolbar at the bottom of your email draft to the top-right corner of your compose window. You can still use mail merge without linking a Sheet, using the built-in merge tags: @firstname, @lastname, @fullname, and @email. 

Like multi-send, mail merge emails contain a unique unsubscribe link for each recipient by default. Recipients who unsubscribe from your emails are automatically excluded from future mail merge emails you send.

Getting started 

  • Admins: 
    • For Google Workspace Enterprise Standard, Enterprise Plus, Education Standard, and Education Plus customers, mail merge is restricted to internal recipients by default. 
    • For Google Workspace Business Standard and Business Plus customers, mail merge is available for external recipients by default. 
    • For all Google Workspace editions, you can turn mail merge ON for external recipients at the OU or Group level. 
    • Visit the Help Center to learn more about managing Gmail settings for your users, and customizing access policies for different organizational units or groups
  • End users: 
    • To link your Sheet to a draft in Gmail: 
      • Turn on mail merge using the icon in the top-right corner of a new compose tab. 
      • Click Add from a spreadsheet and select which Sheet you want to use for recipient data.
        • The Sheet must contain at least one column of email addresses and one column with recipient names.

        • Note: Your recipient data must be in the first tab of the Sheet. 
        • Note: Users are limited to 1,500 mail merge recipients or messages per day, and you can't use Cc or Bcc when recipients are added from a Sheet. 
      • Next, you will see a Finish linking spreadsheet dialog:
        • Choose the columns that contain recipients’ email addresses and names. 
      • To insert merge tags to your draft: 
        • Type “@” in your draft to show a list of available merge tags. 
        • Every valid column in the first tab of your Sheet should be available as a merge tag. 
        • Insert the desired merge tag by pressing Enter or by clicking on the tag. 
        • Note: Merge tags can’t be used in the subject line or in links.

Adding flexibility to email collection in Google Forms 
Previously, when creating or modifying a Google Form and editing the “Responses” section, form creators only had the option to toggle the "Collect email addresses" option on or off. If enabled, this meant when users filled out the form, their email was automatically collected with their form submission. To add flexibility, we’ve introduced the ability to choose between the following email collection options:
  • Verified email collection (previously known as automatic email collection)
  • Responder input (previously known as manual email collection)
  • Do not collect

Adding flexibility to email collection in Google Forms
Gain consensus from collaborators quickly with voting chips in Google Docs 
You can now add smart chips that contain emojis to use as voting indicators in Google Docs. Use companion mode to check-in to a Google Meet conference room, so everyone can know you by name
If you’re joining a meeting from a conference room, you can use companion mode on your personal device to check in to that specific room.     Add or remove client-side encryption from Google Sheets and Google Slides files

    What’s changing 

    You can now simply add or remove client-side encryption to existing spreadsheets in Google Sheets or presentations in Google Slides. This update gives you the flexibility to control encryption as your documents and projects evolve and progress. This feature is already available for Google Docs


    In Google Sheets or Slides, navigate to File > Make a copy > Add/Remove additional encryption.

    Find what you need faster with new Google Drive organizational options
    You will now have more control over how files and folders are displayed in various views within Google Drive for Web. For example, we’re adding a new drop-down menu in both grid and list layouts that will enable you to select whether folders should always appear "on top" or if they should be "mixed with files".     Pin multiple participants from Google Meet Hardware devices
    You can now pin multiple video tiles using Google Meet hardware. Pinning can be used to highlight speakers, presentations, and other key attendees in the video feed.     Enable your users to report inappropriate messages for review
    Admins can enable content reporting for their Google Chat users. Once a user has flagged a message, admins can find more information about the incident in the Security Investigation Tool and decide whether further action is needed.     Contacts delegates can now update labels and manage “Other” contacts
    We’re updating the functionality for delegated users to manage contact labels on behalf of their delegator via contacts.google.com. While this functionality was previously available in Gmail, they can now be managed directly at the source: Contacts. This will happen in two phases: 

    Beginning this month, delegators will be prompted to review and re-approve access for their existing delegates. If existing delegates are not re-approved before July 2023, they will lose access to manage contacts. | Learn more about these additional capabilities for Contacts delegates and additional action required.

    Improving consistency of Gmail data across the Security Investigation Tool and BigQuery
    In August 2022, we announced the movement of the existing Gmail logs in BigQuery to Google Workspace logs and reports in BigQuery, creating a single space to access all of your Google Workspace audit events. 

    To further improve this experience, you’ll see all Gmail log events from the Security Investigation Tool (SIT) in your Google Workspace logs and reports in BigQuery. This includes device types and post-delivery actions (for example open, delete, clicked links, and attachment downloads). | Learn more about the newly added columns.

    Adding new capabilities to timeline view in Google Sheets

    What’s changing

    Last year, we introduced an interactive timeline view that allows you to track projects in Google Sheets. The timeline view enables you to easily interact with project information and can help you manage things like marketing campaigns, project milestones, schedules, cross-team collaboration, and more. 

    Today, we’re adding the following capabilities to expand the timeline view feature: 
    • Enhanced formatting options, including card text truncation and the undo/redo option 
    • A card collapsed view that enables you to merge cards into a single row for each card group 
    • Print and download support

    • Admins: There is no admin control for this feature. 
    • End users: To create a timeline, navigate to Insert > timeline > select a data range > configure the attributes in the timeline settings sidebar. Visit the Help Center to learn more about Timeline View

    Complete data-driven tasks faster with new smart chip data extraction in Google Sheets

    What’s changing

    In continuing our efforts to help you deliver more with smart canvas, we recently introduced additional smart chip functionality in Google Sheets. Building upon this, you’ll also be able to quickly extract information from smart chips for advanced sorting, filtering and analysis to drive your projects forward. 

    With smart chip data extraction, you can enrich your Sheets with information from people, file, and events chips. More specifically, this feature allows you to pull out metadata associated with specific smart chips into its own cell, while maintaining a connection with the chip it was extracted from. 


    For example, if you need to keep track of a set of documents, their owners and details, such as creation time or who last modified the file, you can do so by extracting those fields from the relevant file chips as shown below.

    You can keep your extractions up to date by navigating to the “Refresh & manage” section of the extraction sidebar to update your data and reflect the latest changes.

    Why you’d use it 

    Smart chip data extraction allows you to track and organize data more easily, and also perform deeper analyses using data that is derived from smart chips. Useful actions include using file chips to understand when a document was last updated or using people chips to sort and filter employees based on job location to best delegate region specific tasks.

    You can also nest arrays of chip extractions to perform more complex analyses. The example below uses a range of people chips in B3:B11 to count the number of unique office locations for nine different individuals. Example formula extraction across range of people chips

    Getting started 

    • Admins: There is no admin control for this feature. 
    • End users: 
      • To perform sidebar extraction: 
        • Open the data extractions sidebar (via either the Data menu, right clicking on a cell/range with people, event or file chips and navigating to "Data extractions," or clicking on the "Data extractions" link in people, event or file hover cards) 
        • Select the range that contains the chips you want to extract data from 
        • Choose what data you want to extract from the selected chips 
        • Pick the range where you want the data to be extracted to 
      • To perform formula extraction: 
        • Start by typing = in a cell where you want the information extracted 
        • Navigate to the cell or range with chips in them and select it 
        • Add a period after the cell or range of cells and choose from the autocomplete what to extract 
        • Accept the dialog confirming what will be extracted 
      • To refresh data in the data extraction sidebar: 
        • Open the extraction sidebar 
        • Click Refresh & manage 
        • Find the smart chips data you want to refresh 
        • Click Refresh data 
        • To refresh all smart chips data, click Refresh all at the bottom of the sidebar. 
      • Visit the Help Center to learn more about extracting data from smart chips in your Google Sheets.

    Google Workspace Updates Weekly Recap – April 28, 2023

    4 New updates

    Unless otherwise indicated, the features below are fully launched or in the process of rolling out (rollouts should take no more than 15 business days to complete), launching to both Rapid and Scheduled Release at the same time (if not, each stage of rollout should take no more than 15 business days to complete), and available to all Google Workspace and G Suite customers.


    Updates to image insertion in Google Sheets on Android 
    You can now drag and drop or copy/paste an image into Google Sheets on Android as an over-grid image rather than an in-cell image.     Updates to image insertion in Google Sheets on Android
    Replace images quicker in Google Slides with new drag and drop feature
    Previously, to replace an image in Google Slides, you could either use the menu toolbar or right-click on the image you wanted to replace and select “Replace image.” Starting this week, you’ll have the additional option to easily drag and drop images from anywhere to replace images in your Slides presentations. | Rolling out to Rapid Release domains now; launch to Scheduled Release domains planned for May 9, 2023. | Learn more about inserting or deleting images and videos

    Attach a document, spreadsheet, or presentation to a Google Calendar event directly from Meet in Docs, Sheets, and Slides
    You can already share a file in a Google Meet chat when using Meet in Docs, Sheets, and Slides.     Add emoji reactions to existing comments in Google Docs
    Last year, we introduced an emoji reaction feature that provides a less formal alternative to comments in Google Docs. We’re building upon this by giving you the ability to add emoji reactions to existing comments in Docs.     Enhancing tool discovery in Google Docs, Sheets, and Slides
    We’ve rolled out an enhanced tool finder at the top of Google Docs, Sheets, and Slides to make it easier for users to discover commonly used tools and features.     Full HD in Google Meet video calls
    For select Google Workspace editions, you can set your Google Meet video resolution to 1080p. This resolution is available on the web when using a computer with a 1080p camera and enough computing power in meetings with two participants. | Available to Google Workspace Business Standard, Business Plus, Enterprise Starter, Enterprise Standard, Enterprise Plus, the Teaching and Learning Upgrade, Education Plus, Enterprise Essentials and Frontline customers only.     Introducing additional smart chip functionality in Google Sheets
    We’re expanding YouTube chips to Sheets to help you more easily manage YouTube content. You can also now insert multiple smart chips and text into a single cell using the @ menu. | Learn more about additional smart chip functionality in Google Sheets.


    New Alert Center notifications for Apple push certificates
    The Apple Push Notification Service (APNS) certificate is a critical component for advanced mobile management for iOS devices. This certificate expires yearly and requires manual renewal. | Available to Google Workspace Business Plus, Enterprise Essentials, Enterprise Standard, Enterprise Plus, Education Standard, Education Plus, The Teaching and Learning Upgrade, Education Fundamentals, Frontline, and Cloud Identity Premium customers only. | Learn more about new Alert Center notifications for Apple push certificates.


    Set a custom time period for messages to automatically be deleted in Google Chat
    For select Google Workspace editions, admins can now define a duration after which their users' messages in Google Chat will be deleted automatically. | Available to Google Workspace Business Plus, Enterprise Standard, Enterprise Plus, Education Standard, and Education Plus customers only. | Learn more about setting a custom time period for messages to automatically be deleted in Google Chat


    Set Full HD in Google Meet live streams
    For select Google Workspace editions, we’re adding 1080p as a resolution option for live streaming video, an increase from 720p. | Available to Google Workspace Enterprise Essentials, Enterprise Plus, Enterprise Standard, Education Plus, and Teaching and Learning Upgrade customers only. | Learn more about full HD in Google Meet live streams.

    Introducing additional smart chip functionality in Google Sheets

    What’s changing

    Earlier this year, we added place chips, finance chips, and expanded date capabilities to Google Sheets as the latest innovations in smart canvas. Today, we’re adding even more features that help you access and include rich, context-setting information directly in Sheets. 

    Previously in Docs, we’re expanding YouTube chips to Sheets to help you more easily manage YouTube content. This feature allows you to add YouTube data, such as the title, description, and video preview, directly into your spreadsheet cell. Simply copy and paste a YouTube link into the cell, hover over it, and click the “Chip” option included in the “Replace URL” hovercard.
