We’re excited to introduce “Catch me up,” a new feature that helps users easily stay up to date on their files. 

Starting today, Gemini can identify relevant files from a user’s Drive with changes since it was last viewed and provide an overview of those changes. This includes file edits on Docs and file comments on Docs, Sheets, and Slides. While this list isn’t meant to be comprehensive, it aims to highlight changes that may be helpful and important

Understand your videos much faster using Gemini in Google Drive

What’s changing

In addition to the ability to use Gemini in the side panel of Google Drive to summarize documents or to interact with PDFs in Google Drive’s overlay file previewer, we’re excited to extend Gemini’s summarization and Q&A capabilities to videos in Drive. 

Starting today, you can use Gemini in Drive to get summaries and ask questions about the content of videos in your Drive, such as: 
  • “Summarize this video” 
  • “List action items from this meeting recording” 
  • “What are the highlights from this announcement video?"

Introducing video engagement insights in Google Drive

What’s changing

To enhance the video player experience within Google Drive, we’ve made numerous improvements, including a new look and feel, and enhanced functionality, automatically generated captions, and most recently, video transcripts. Now, we’re introducing a feature that helps you measure the engagement on videos uploaded to Drive. 

Starting today, users can see the total number of times a video is opened under a new Analytics section within the Details panel. 

This highly requested feature will help users understand if viewers are engaging with their videos.

  • Admins: There is no admin control for this feature.

Easily connect to BigQuery data using Saved Queries in Connected Sheets 
We’re launching direct access to the BigQuery saved queries feature directly from Connected Sheets. Scan documents easier using Google Drive on Android devices

Chat apps can now create spaces with their own identity using the Google Chat API
Last year, we introduced a feature through the Google Workspace Developer Preview Program that enables Chat apps to create spaces and memberships - using application identity - via the Google Chat API. This update further enhances Chat apps for real-time collaboration and allows for even more sophisticated and autonomous Chat apps by eliminating the need to create spaces and memberships on behalf of a user. Create even more interactive YouTube assignments in Google Classroom
In 2024, we added AI-suggested questions that educators can easily attach to the video based on its content to save educators time. Today, we’re excited to announce that we’re expanding the collection of YouTube videos that have AI-suggested questions available. As a result, educators can create even more interactive YouTube assignments in Classroom more quickly and efficiently, with the help of Gemini. Your users can now express interest in upgrading their Google Workspace subscription 
We’re introducing a simple way for Workspace end users to request an upgraded edition of Google Workspace from their admins. To send this request, Workspace end users will see a path to request an upgraded Workspace edition including additional Gemini features when they interact with Gemini, such as with the Gemini icon displayed across Workspace apps. This interaction will provide an end user a path to complete a request form for an upgraded Workspace edition. Now you can automatically extract key information from uploaded photos, parse through complex PDFs, or even categorize, route and prioritize incoming requests based on their content – all seamlessly within your existing AppSheet apps. Upcoming Changes to Microsoft Exchange Migrations 
Beginning May 31, 2025, the legacy Data Migration Service will no longer support migrating email, calendar, and contact data from Microsoft Exchange on-premises servers (e.g., Exchange 2010, 2013, or 2016). When enabled, Gemini can reference and incorporate data from these apps to generate even more informed and relevant responses, bringing Gemini’s capabilities more seamlessly into your daily workflows, helping enhance productivity. Workspace apps are available for:

  • Calendar
  • Docs
  • Drive
  • Gmail
  • Keep
  • Tasks

Beginning today, we’re pleased to announce that extensions for these apps are now generally available.

Who’s impacted

Why you’d use them

When enabled, Gemini can interact with other Google apps and services to provide more contextual and relevant responses to your prompts and take certain actions across apps. For example, you can:

  • Gmail: ask what dates were proposed in the email about the team offsite.
  • Drive: find the document about the website clean-up project and summarize the proposal in a few bullet points.
  • Docs: reference a Doc that outlines your target audiences while performing customer research in parallel. 
  • Calendar: create an event based on specific details or based on the conversation with the Gemini app, find events for a specific day or date range, modify events in Calendar.
  • Tasks: add reminders and tasks, including those based on your conversations with Gemini, or view and update a list of your tasks.
  • Keep: create notes and lists, add items to an existing list, find content from your notes and lists, and reference your notes and lists in conversion with Gemini.

Additional details

  • Context aware access support:
    • Like all Google apps, context-access aware policies can be applied to the Gemini app. Note that at the moment, CAA policies can only be applied to Gemini on the web, they cannot be applied on mobile.
    • If these policies are not met, users will not be allowed to access Gemini.
    • If a user meets the Gemini app specific CAA policies, they can interact with Gemini. If a prompt requires access to Workspace data, CAA policies will determine if a user has access to the requested data. For example, if a user asks Gemini "What are my unread emails?", they will see the requested content if they have access or they’ll receive an error message.

  • If your prompt includes multiple actions that require separate apps or services, but one or more of the required services are not enabled, neither of the actions will be completed. For example, if you prompt Gemini to create an event on your calendar and a reminder for that event but the Tasks extension is not enabled, the event will not be added to your calendar and you will not get a reminder.

  • Google Workspace extensions are not available to Google Workspace users accessing Gemini as an additional Google service.

  • Google Workspace extensions are only available to users 13+.

  • All prompts, responses, or content the Gemini app gets via apps (fka extensions), is not reviewed by anyone to improve AI models, not used to train AI models, and not shared with other users or institutions.

Getting started

  • Admins: Access to Workspace apps is controlled by the new “Allow access to Workspace apps after Beta (upcoming general availability)” setting. Access is ON by default unless you previously took action on the setting leading into general availability. Visit the Help Center for more information on turning Workspace apps in Gemini on or off.

  • End users: If enabled by your admin, connecting Google Workspace allows users to summarize, get quick answers, and find information from Calendar, Keep and Tasks in addition to Gmail, Docs, and Drive directly in Gemini.       • Right-click on a folder in the doclist, and click on “Ask Gemini” in the context menu, or; 
      • Select a folder in a doclist, and click on “Summarize this folder” in the selection toolbar. 
    • If Gemini in side panel is already open, you can: 
      • Drag and drop a folder from the doclist into the side panel, or; 
      • @-mention a folder in the side panel’s textbox. 
    • If you are searching for a folder, you can: 
      • Click the Gemini icon next to the folder in the search dropdown box. 
    • Visit the Help Center to learn more about collaborating with Gemini in Google Drive
