Google Workspace Updates Weekly Recap – August 4, 2023

6 New updates 

Unless otherwise indicated, the features below are available to all Google Workspace customers, and are fully launched or in the process of rolling out. Rollouts should take no more than 15 business days to complete if launching to both Rapid and Scheduled Release at the same time. If not, each stage of rollout should take no more than 15 business days to complete.

Empty the entire trash folder of shared drives in Google Drive
In order to make it easier to manage shared drive files and eliminate the manual effort of removing items in the trash folder, we’ve added the ability to empty the entire trash folder of a shared drive. As a reminder, files and folders in Trash are deleted forever after 30 days. You can also delete files in Trash by selecting “Delete Forever”.

Linkable headings now available in Google Docs
To improve shareability of documents, especially longer ones, we’re adding the ability to copy links to headings in Google Docs. Simply, open a Google Doc on web > add a heading (type some content and set to “Heading 1”) > right-click the heading > click the “Copy heading link” button > paste the contents.

People chips in Google Sheets now available on mobile devices 
In 2021, we introduced people chips in Google Sheets. These chips allow you to quickly view more information about colleagues or contacts, including their location, job title, and contact information. Adding drag & drop to Google Drive multi-instance support on large screen Android devices
Earlier this year, we added the option for a single user to have two instances of the Google Drive app open side-by-side on a single device, which shows content from two different Google Accounts. Starting this week, you can now drag and drop between two instances of the Drive app, enabling you to quickly share files and folders between two different accounts. | Learn more about using Google Drive

Insert emojis into Google Sites 
You can now create more engaging content on Google Sites with the new option to insert emojis directly into text boxes and headings. Simply, create or open a Site > click any textbox and the emoji button will be visible in the toolbar > select the emoji button > choose an emoji.

Paste HTML into document on iOS 
Last month, we announced the ability to paste copied HTML elements into a document on Android. We’re excited to announce that this functionality is now available on iOS devices.

Q&A moderation now available for Google Meet 
Meeting hosts can now enable Q&A moderation, which will allow hosts to review and approve questions before they’re shared with meeting attendees. Set Context Aware Access policies for 1P & 3P applications to access Workspace APIs 
Admins can now use context-aware access to block or limit first and third party API access to Google Workspace applications. With context-aware access, you can set up different access levels to Workspace applications based on a user’s identity and the context of the request (location, device security status, IP address). Include audio when sharing your screen using Google Meet on mobile
If you're using Google Meet on a mobile device, you can now share audio in addition to your screenshare. A single Google group can be a member of 30,000 shared drives 
Previously, a single Google group could be added as a member to an unlimited number of shared drives. Import sensitive external files to Google Drive with client-side encryption using the Drive API, launching in beta

What’s changing 

For select Google Workspace editions, admins can import sensitive, encrypted files from third-party storage using Client-side encryption and the Google Drive API, preserving the confidentiality of your data. Eligible admins can apply for beta access using this form

Why it’s important 

Currently, client-side encryption allows for additional encryption by end users within Google Workspace. However, we know it’s critical for our customers and partners to import sensitive content into Google Drive on behalf of their users. With the launch of this beta functionality, admins will be able to easily bulk import files and keep them private with client-side encryption. 


Google Workspace already uses the latest cryptographic standards to encrypt all data at rest and in transit between our facilities. Client-side encryption helps strengthen the confidentiality of your data while helping to address a broad range of data sovereignty and compliance needs. Client-side encryption is already available for Google Drive, Google Docs, Sheets, and Slides, Google Meet, Google Calendar and Gmail. For more information, see our original announcement.

Respond to access requests for Google Workspace files more efficiently

What’s changing

We’re introducing a new file access experience to make it easier for file approvers to respond to pending access requests across Google Workspace. 

Currently, when users request access to a file, the approvers receive an email with the option to share the file or decline the request. With this update, users can review and respond to requests from within the file. Approvers will see a notification dot on the “Share” button if they have a pending access request and a new banner at the top of the sharing dialog. 

Approvers can continue to respond to access requests through the existing emails that are sent when users request access to files. If the “Notify” checkbox is selected when an approver responds to a request, the user who requested access will receive an email with the status of the request.

Enhancing Google Vault file retention capabilities using Google Drive Labels

What’s changing

Google Drive labels are metadata your organization defines to help organize, find, and apply policies to files in Drive. As an administrator, you can create labels to apply to files stored in Drive. Starting today, Google Vault now supports custom retention rules based on Drive labels. 

With this update, Vault users can set fine-grained file-level retention policies with configurable label conditions (e.g. "label is," "label is not," "label date is before"). Additionally, you can have a label with multiple options (sub labels) and have nested and conditional application of overlapping and distinct rules.

Record retention management is a critical activity for organizations looking to maintain various compliance requirements. With file-level policy administration, label-based retention enables organizations to now be much more targeted in their retention management.

Adding rich text formatting to comments in Google Classroom 
Rich text formatting is now available for class and private comments in Google Classroom, enabling teachers and students to customize and add emphasis to their content. View documents in paginated mode on Android devices 
Documents will now be in paginated mode upon first open unless the document is set to pageless. This will set up your Google Doc with pages and page breaks in the app, enabling a more cohesive visual design between web and mobile.

We’re updating the Google Meet picture-in-picture experience to be more engaging and feature-rich. Assistant and Calendar reminders are automatically migrating to Tasks 
In September 2022, we announced that we would be migrating Reminders from Google Calendar and Google Assistant to Google Tasks in order to create a single experience for managing to-dos across Google. Over the last several weeks, Google Workspace users had the opportunity to voluntarily migrate their reminders to Tasks. We’re adding new keyboard shortcuts to Google Sheets to help you increase your productivity and perform actions faster. Find what you need faster with new Google Drive organizational options
You will now have more control over how files and folders are displayed in various views within Google Drive for Web. For example, we’re adding a new drop-down menu in both grid and list layouts that will enable you to select whether folders should always appear "on top" or if they should be "mixed with files". Pin multiple participants from Google Meet Hardware devices
You can now pin multiple video tiles using Google Meet hardware. Pinning can be used to highlight speakers, presentations, and other key attendees in the video feed. Extending client-side encryption to chat messages in Google Meet

Adding new capabilities to timeline view in Google Sheets

Enable your users to report inappropriate messages for review
Admins can enable content reporting for their Google Chat users. Once a user has flagged a message, admins can find more information about the incident in the Security Investigation Tool and decide whether further action is needed. This feature is available for Google Chat on the web and mobile devices. | Available to Google Workspace Enterprise Plus, Education Standard, and Education Plus customers only. | Learn more about reporting inappropriate messages

Contacts delegates can now update labels and manage “Other” contacts
We’re updating the functionality for delegated users to manage contact labels on behalf of their delegator via contacts.google.com. While this functionality was previously available in Gmail, they can now be managed directly at the source: Contacts. This will happen in two phases: 

Beginning this month, delegators will be prompted to review and re-approve access for their existing delegates. If existing delegates are not re-approved before July 2023, they will lose access to manage contacts. | Learn more about these additional capabilities for Contacts delegates and additional action required.

Improving consistency of Gmail data across the Security Investigation Tool and BigQuery
In August 2022, we announced the movement of the existing Gmail logs in BigQuery to Google Workspace logs and reports in BigQuery, creating a single space to access all of your Google Workspace audit events. 

To further improve this experience, you’ll see all Gmail log events from the Security Investigation Tool (SIT) in your Google Workspace logs and reports in BigQuery. This includes device types and post-delivery actions (for example open, delete, clicked links, and attachment downloads). | Learn more about the newly added columns.

Set expirations for files in shared drives using Google Drive API

What’s changing

Last year, we announced the ability to set expiring access when sharing files in My Drive. To expand upon this, we’re adding the option to set expirations on files that reside in shared drives using the Google Drive API

Specifically, developers will now be able to fully control file expirations via the API (creating, reading, updating, deleting), and users will be able to see, but not edit file expirations in the sharing dialog.

Getting started 

  • Admins: There is no admin control for this feature. 
  • Developers: Visit the Help Center to learn more about setting an expiration date for file access
  • End users: This feature will be ON by default and cannot be disabled. If an expiring access has been set by a developer in your domain, you will automatically see it in the sharing dialog.
