Extract and categorize data in AppSheet with the power of Gemini

What’s changing

At Google Cloud Next 2025, we introduced Gemini in AppSheet solutions for AppSheet Enterprise Plus users. Now you can automatically extract key information from uploaded photos, parse through complex PDFs, or even categorize, route and prioritize incoming requests based on their content – all seamlessly within your existing AppSheet apps. The new AI Task (Preview) feature, powered by Gemini, makes this a reality.

AppSheet Enterprise Plus users can now leverage this new 'AI Task' when building automations. These AI tasks make Gemini handle the heavy lifting, allowing it to supercharge your processes. Whether it's extracting details from equipment photos, processing PDF purchase orders, or categorizing incoming requests by their nature, Gemini is here to assist—all directly within your AppSheet.

To ensure these AI-powered features work precisely as you intend, you can quickly test individual steps within your workflow using the integrated AI Task Step Testing feature, now generally available (GA). This allows you to iterate with speed and confidence.

The AI Task, extract, and categorize functionality is available for all AppSheet Enterprise Plus users in preview. AI Task Step testing is now GA for all AppSheet Enterprise Plus users.

Why it’s important


AI Made Easy & Powerful: Integrating Gemini into AppSheet significantly simplifies how you incorporate advanced AI functions, such as data extraction and categorization, into your apps. It's designed to be user-friendly and effective:
  • Get started quickly: The extract and categorize AI capabilities work out-of-the-box once enabled (see "Getting started" below).
  • Customize with context: Easily add additional context or instructions to tailor the results to your specific needs.
Here are just a few examples of what you can do:


Extract Information:
  • Have technicians snap a photo of equipment; use the AI Task to automatically extract the Serial Number, Model Number, or Meter Reading into your AppSheet table.
  • Process uploaded purchase orders (PDFs) or photos of shipping labels to extract PO numbers, company names, tracking numbers, or addresses.
  • Extract key details like location, date, or names from incident reports.
  • Extract purchase details from a PDF contract, categorize order details by fulfillment team, and assign follow up action items.

Categorize Records:
  • Analyze the description in employee expense submissions and automatically categorize them by type ("Travel", "Meals", "Software", "Training").
  • Read incoming facility maintenance requests and categorize them by urgency ("High", "Medium", "Low") or equipment type ("HVAC", "Plumbing", "Electrical").
  • Classify customer survey responses or feedback form submissions into types like "Bug Report", "Feature Request", "Positive Feedback", or "Billing Inquiry".

Before deploying your AI-powered automations, remember you can use the AI Task Step Testing feature, now in GA, to rigorously validate how your AI Tasks (Preview) perform with your specific data and instructions. This crucial step allows you to iterate, refine configurations, and see immediate results on data from your table, ensuring your AI-powered automations work as intended without needing to test the entire bot.


Additional details

  • Usage of AI tasks during preview: During this Public Preview phase, AppSheet Enterprise Plus users have complimentary access to explore and learn these Gemini AI Task capabilities. We plan to track usage against entitled credits when these AI Task features become generally available.
  • Testing quotas: Running inline tests using the AI Task Step Testing feature will count towards your general AppSheet automation limits and entitled credits when AI Task becomes generally available.
  • Admin governance policies can be applied as described below in "Getting started."
  • App creators must enable preview features for their apps as described below in "Getting started."


Getting started

  • Admins: 
    • Optional: For AppSheet Enterprise Plus accounts, Gemini features are accessible to app creators who follow the steps below. However, Admins can define governance policies to control or disable the use of AI Tasks powered by Gemini. Learn more about controlling which app creators can use AI in automations.

  • End users:
    •  App Creators - Required for Preview access: 
      • To use Gemini in AppSheet solutions’ AI Tasks during this public preview, please follow the instructions to turn Gemini in AppSheet solutions on or off.

        As part of this process, you will need to ensure your app is included in the AppSheet preview program - learn more about the AppSheet preview program here. This step is required for access unless an organization or team policy prevents usage (see the Admin section above).

      • As you explore the new Gemini AI Task capabilities in AppSheet, your feedback is invaluable in helping us shape this feature for GA. Granular OAuth consent in HTTP Google Workspace add-ons

What’s changing

Granular OAuth consent is rolling out over the next few weeks for Google Workspace add-ons built using HTTP endpoints. Granular consent gives users clear choices about the data they share with third-party applications.

This update is similar to an update made earlier this year with the introduction of granular OAuth consent in the Google Apps Script IDE: when someone installs or runs an HTTP Workspace add-on that supports granular consent, they will see a redesigned consent screen. Instead of being asked to authorize all requested permissions at once, users can selectively grant access to individual OAuth scopes.

For example, Google Workspace add-ons can extend to multiple Workspace apps, but users might only use an add-on for some of the apps it extends. With granular consent, users can choose to grant all permissions to an add-on or grant permissions as needed when they use the add-on in each app.

This screenshot shows the new OAuth consent screen, which lets the user provide consent for a subset of the requested OAuth scopes.


Additional details

Following is the timeline for developers supporting granular consent in HTTP Google Workspace add-ons:

  • New HTTP Google Workspace add-ons built after May 27, 2025 must support granular consent. 
  • Existing add-ons have until December 1, 2025 to add support for granular consent. 
  • After December 1, 2025, all HTTP Google Workspace add-ons must support granular consent.


After a user grants permission to a Google Workspace add-on that supports granular consent, the add-on might request OAuth consent again in the following cases:

  • The user, who has granted consent to a subset of the requested OAuth scopes, tries to run a part of the add-on that requires scopes that were not previously authorized.
  • The add–on is updated in such a way that it requires permission for additional scopes.
  • The user revoked access to the add-on from their Google Account settings.


This update does not apply to the following scenarios, for which granular consent may become available in the future:

  • When an admin initially installs an add-on
  • When an admin updates the permissions granted to an add-on from the Admin console
  • If a Google Workspace add-on is built in Apps Script

Getting Started

  • Admins: There are no changes to the admin controls for this feature.
  • Developers: For information about how to add support for granular consent to HTTP Workspace add-ons, refer to the developer documentation.
  • End users: This new consent screen will only be used for new OAuth scope grants. Pre-existing scope grants will not be affected, so no action is required by users on add-ons they’ve already authorized.

Gmail will soon stop support for the 3DES encryption cipher for incoming SMTP connections

What’s changing

Starting May 30, 2025, we will no longer support the Triple Data Encryption Standard (3DES) for incoming SMTP connections. After May 30, 2025, email systems using 3DES for SMTP connections will be unable to deliver emails to Gmail accounts. This change is necessary to improve our security and protect you from potential vulnerabilities associated with outdated encryption methods.

To prepare for this change, please ensure that all of your sending systems are configured to use more modern and secure TLS ciphers. A list of supported ciphers can be found in our Help Center.

Getting started

  • Admins: 
    • Visit our Help Center to learn more about Ciphers for Gmail SMTP TLS connections.
      • If your domain has recently sent messages to Gmail using 3DES, you have also received notification via email with additional information.
  • If your end users are receiving these types of messages, they will see a warning informing them that this specific cipher will no longer be supported. Visit the Help Center to learn more about checking your email traffic sent over 3DES connections.

Enhance Your Organization’s Security with Out-of-Domain File Warnings in Google Workspace

What’s changing

Today we’re launching Out-of-Domain file-level warnings, now publicly available to all Google Workspace users. Specifically, a badge will be displayed on Google Docs, Sheets, and Slides files when the file is owned by or shared with someone outside of your domain. You'll also see a pop-up with more details and the option to report the externally owned file for abuse.

This feature helps users identify potentially risky files and avoid phishing scams when working with files shared from outside your organization.


Additional details

  • Known Limitations:
    • For externally shared content, the badge will not be displayed if any internal Google Groups have access to the document, even if these groups have external members.
    • If any service accounts have access to the document, the External badge will be displayed, even if the service account is owned internally.

Create custom chart groupings in Connected Sheets
We’re excited to announce that Connected Sheets users can now create custom groupings for numeric values in a chart. More specifically, users can control the minimum and maximum value of the buckets and the interval size of the bucket. Introducing silent reading mode in Google Classroom’s Read Along

What’s changing 

In addition to the recent announcement of educators being able to upload content to Read Along in Google Classroom, we’re excited to introduce a new feature that allows students to read a book in silent reading mode. 


Prior to today, students could only read aloud and unlike the default reading mode, silent reading mode will allow students to read a book silently without having to draw attention to themselves or disturbing their classmates. In addition to giving teachers more flexibility in how they use Read Along, this new reading mode is particularly useful in scenarios where multiple students might be working on a reading assignment in the same space. With less noise and fewer distractions, students can still build independent reading skills and will continue to: 
  • Receive assistance from the AI reading buddy when needed by clicking on any unknown words 
  • Be presented with questions to help with their reading comprehension 
  • Receive stars when they read with few errors or assistance and answer questions correctly 

Additional details 

When using silent reading mode, teachers will not be provided with a student's reading performance related to accuracy, words per minute, or phonics. The teacher will receive reading performance insights related to comprehension.
