Google Workspace Updates Weekly Recap – June 20, 2025

New updates

Unless otherwise indicated, the features below are available to all Google Workspace customers, and are fully launched or in the process of rolling out. Rollouts should take no more than 15 business days to complete if launching to both Rapid and Scheduled Release at the same time. Admins can now deploy Context-Aware Access for the NotebookLM mobile app 
Earlier this year, we introduced the ability for admins to specify Context-Aware Access (CAA) policies when their users access NotebookLM. Introducing a new video player experience in Google Drive on Android devices 
Last year, we announced a smoother, more modern video player on the Google Drive web experience. Improving the file upload experience on Android and iOS devices 
To improve Google Drive's mobile upload experience, we've launched more fine grained controls and proactive status updates. Starting this week, you’ll notice updates to: 
  • The initial upload screen where you can adjust the file’s name and location. 
  • The progress bar that tells you how many items are uploading and how long it will take. 
  • The Upload Tab where you can see all pending or recently completed uploads.

Improving the file upload experience on Android and iOS devices
Support for file and people smart chips now available with Google Sheets API
Last month, we introduced the ability to take basic actions to create and modify tables via the Google Sheets API.     Google Meet now offers customizable caption styling
    You can now customize the styling of captions in Google Meet, including the font size, font type, color, and background color. This allows for the captions to be customized in a way that works best for you. | Learn more about caption styles in Meet. 

    Adding new admin settings to control Google Form responses

    Create a Google Vid from Google Slides 
    At Google I/O, we introduced the ability to turn existing Google Slides content into engaging videos using Google Vids. Today, we’re starting to roll out the first iteration of this new experience for Vids customers. | Learn more about creating a Vid using Slides. 

    Data migration log events are available in the Admin console 
    Beginning this week, you can now access log events for the new data migration service in the audit and investigation tool and the security investigation tool.     Generate charts and valuable insights using Gemini in Google Sheets in additional languages 
    Earlier this year, we introduced the ability for Gemini to provide insights and generate charts based on your data in Google Sheets.     The Gemini app is now available to all education users

    Use NotebookLM on-the-go with new mobile app 
    We’re excited to introduce the NotebookLM mobile app on Android and iOS devices, enabling all NotebookLM users to listen to and interact with their audio overviews and other functionalities on-the-go. In addition, we’re introducing the ability for users to specify the lengths of their audio overviews.     Introducing a new ‘Getting started’ page to make it easier to create Google Vids

    Google Vault improves Google Drive search and export: now with document ID and more shared drive options 
    Google Vault now supports export by Google Drive document IDs. This gives a reliable search for documents where the ID or URL is known, eliminating the previous dependency for searching with collaborators and document content.     More ways to create with Canvas
    We recently introduced Canvas, the creative space inside the Gemini app, a place to build anything you can describe. This week, with Gemini 2.5 models, Canvas is even more intuitive and powerful, allowing you to create multiple items. | Learn more about Canvas

    Personalize learning with quizzes, available through Canvas in the Gemini app
    You can now generate quizzes for any subject using Canvas in the Gemini app by uploading relevant documents or simply entering a prompt like “Give me a practice quiz about the nervous system”. | Learn more about quizzes in Canvas

    Available in Open Beta: Migrate files from Microsoft SharePoint Online to Google Drive 
    Beginning this week, the Google Workspace Migrate tool can be used to migrate files from Microsoft SharePoint Online to Google Drive.     Use NotebookLM to generate Audio Overviews more than 50 languages

    What’s changing

    Since bringing NotebookLM to Google Workspace customers earlier this year, and most recently to Google Workspace for Education, many have utilized the Audio Overviews feature. 


    Audio Overviews are lively “deep dive” discussions between two AI hosts who summarize key topics in your sources. These turn documents, slides, charts and more into engaging discussions with one click and are especially useful for learning on-the-go. Today, we’re excited to expand Audio Overviews to over 50 languages in Beta. 


    Additional details

    For Audio Overviews, you can upload sources from all supported languages, including a combination of different languages in the same notebook, and then generate audio in any of the languages outlined above. 


    Audio Overviews are not meant to be a subjective view of a topic by the AI hosts, but simply a reflection of the source content that you have uploaded. Interactive mode, when a user is able to join the hosts’ conversation and ask questions, will remain in beta and is only available in English at this time. 


    Please note that this is an early look at what's possible with this feature in non-English languages — we plan to keep building and refining it based on your feedback.

    Last year, we launched enterprise-grade data protection in the Gemini app for Education Standard and Education Plus customers. As a core service with enterprise-grade data protection, the Gemini app:

    Who’s impacted 

    Why you’d use it 

    Gemini is an AI assistant for education that allows educators to chat with the Gemini app to brainstorm ideas, answer questions quickly, summarize content and more. In addition, students can use the Gemini app to learn more confidently with in-the-moment assistance, practice materials, and real-time feedback. 

    NotebookLM is an AI-powered thinking partner that helps you understand anything. It accelerates learning and knowledge sharing, with AI grounded on the documents that matters most to you. Educators and students 18+ can add their lesson plans, education standards, lecture notes and/or course readings to get real-time summaries, guided lesson plans, discussion questions, quizzes and more. They can also generate audio overviews to take learning on the go and make content more accessible, digestible and engaging. 

    With NotebookLM Plus, you can allow users to chat with your Notebooks without access to see or edit sources, customize the style and tone of notebook responses, create shared notebooks with usage analytics, and you get 5x more Audio Overviews, queries, notebooks, and sources per notebook. 

    Additional details 

    Workspace for Education users already had added data protection in the Gemini app and NotebookLM, meaning their data is not human reviewed or used to train AI models. These enterprise-grade data protections build on that to give school administrators peace of mind. 

    The Gemini app is available in more than 40 languages and over 230 countries and territories. Teen users get a unique Gemini app experience, which we created after consulting with child development and learning science experts. This included conducting learning focused red teaming, an industry standard testing process to find vulnerabilities in generative AI, and testing with youth advisory panels to ensure we’re bringing this technology to students responsibly. 

    NotebookLM and NotebookLM Plus are available in 180+ regions where Gemini API is available and currently supports 35+ languages. For Audio Overviews, while you can upload sources from all supported languages, the spoken audio is currently only available in English. Users can only upload sources from Workspace that they have permission to access. Furthermore, they can control who has access to their notebooks and set more granular permissions within each. Notebooks can only be shared within your organization.

    Introducing updates to sources for NotebookLM and NotebookLM Plus

    What’s changing 

    In addition to the new NotebookLM features announced a few weeks ago, we’re excited to introduce additional updates that improve upon the NotebookLM user experience as it relates to sources. Starting today, you can: 
    • Use the new “Discover sources” functionality to find related sources from the web based on the topic you’re interested in. You can then add these sources to your notebooks, expanding your research and building more comprehensive notebooks. 
    • Use multimodal PDFs as sources with NotebookLM’s enhanced capability to understand all the content within PDFs, which includes text, images and graphs.

Covered under your Google Workspace terms of service, these apps offer the same enterprise-grade data protections and level of technical support as other Workspace core services. 


    NotebookLM helps users: 
    • Understand a complex topic faster and more in depth. After uploading files, recordings or even research papers, users can ask NotebookLM to explain multifaceted concepts in simple terms, provide real-world examples, and reinforce their understanding. 
    • Create a polished presentation outline, complete with key talking points and supporting evidence. 
    • Identify trends, generate new product ideas, and uncover hidden opportunities. 
    • Get insights and answers from a shared, centralized knowledge hub to maintain consistency and keep teams aligned and informed. 
    NotebookLM Plus includes the components mentioned above in addition to enhanced capabilities that enable users to:

    NotebookLM Plus now available to Google Workspace customers

    What’s changing

    Today, we’re announcing that NotebookLM Plus, our newest and most advanced version of NotebookLM, is available to Gemini for Google Workspace customers. In addition to what's already included with NotebookLM, which we introduced in September, this enhanced version allows users to: 
    • Get 5x more Audio Overviews, queries, notebooks, and sources per notebook 
    • Customize the style and length of their notebooks 
    • Create shared notebooks for their team and get usage analytics 
    • Use with confidence knowing their sources, queries and responses stay within their organization

    Who’s impacted 

    Admins and end users (18+) with a Gemini for Google Workspace add-on or Gemini Education add-on
    • NotebookLM Plus is available in 180+ regions where Gemini API is available and currently supports 35+ languages. For Audio Overviews, while you can upload sources from all supported languages, the spoken audio is currently only available in English.

As a result, NotebookLM can help you prepare for customer meetings by creating an account plan to help your team find information faster and better engage with customers. 
    • Marketers can use NotebookLM Plus to help summarize customer trends and purchase behaviors, draft communications, create campaign briefs, and more–all based on market research, customer segmentation analysis, and marketing roadmaps. 
    • Educational customers can add their district’s strategy plan, education standards, lecture notes and/or course readings to get real-time summaries, guided lesson plans, discussion questions, quizzes and more. They can also generate audio overviews to take learning on the go and make content more accessible, digestible and engaging.

    As a Gemini for Workspace user of NotebookLM Plus, your uploads, queries and the model's responses are not used to train models and are not reviewed by humans. Your data remains your data and any files uploaded, queries and responses are not shared outside your organization’s trust boundary. 

    Users can only upload sources from Workspace that they have permission to access. Furthermore, they can control who has access to their notebooks and set more granular permissions within each. Notebooks can only be shared within your organization.
