Displaying Microsoft Outlook users as organizers in Google Calendar

What’s changing

Previously, if a Microsoft Outlook user invited a Google Calendar user to a meeting event, the Outlook user’s display name would not appear at all in the list of meeting attendees on Google Calendar. Starting today, we’re updating this experience so that the Outlook user who organized the meeting is listed amongst the other meeting attendees in Calendar as the meeting organizer.

Launching new Google Drive / Microsoft Outlook integration, shutting down legacy plugin

What’s changing 

We’re updating Drive File Stream to replace the functionality of the “Google Drive plug-in for Microsoft Office.” As a result, the outdated plugin will be shut down on June 26, 2019. This only impacts users of the Google Drive plug-in for Microsoft Office. Those users will notice two key changes:

  1. New Drive / Outlook integration: The update to Drive File Stream will include a plugin to manage Google Drive files from Microsoft Outlook. This will make it easier for users to use Google Drive without leaving the Outlook interface. 
  2. New process to save to, or open from Drive: Drive File Stream users can save and open Drive files through the regular menu, rather than using the Google Drive plug-in for Microsoft Office interface. 
    • To save to Drive, use File > Save, then choose a destination in Drive File Stream. 
    • To open from Drive, Open through the File > Open menu and find the file you want. 

If your organization uses the Google Drive plug-in for Microsoft Office, you should make sure your users are using the latest version of Drive File Stream before June 26, 2019 to ensure continued access to this functionality.

Why you’d use it 

Drive File Stream offers an easy way to integrate Microsoft Office and Google Drive. The latest versions (30.1 and up) will include the new Outlook plugin that will make it easier for users to:

  • Save attachments from Outlook to Drive 
  • Attach Drive files to Outlook messages 
  • Ensure recipients always have access to Drive links sent in Outlook emails 

Drive File Stream already makes it easy to save to the local Drive File Stream folder through the regular “Save” menu.

By ensuring your users are using the new plugin before June 26, 2019, there will be little to no disruption to their workflows.

How to get started 




Additional details 

Users of the Drive for Office plugin will see an in-product notification, pictured below, starting on March 27, 2019. This will encourage them to update to the new plugin to continue using Drive from Outlook.

G Suite data migration and sync tools ending support for Windows XP and Server 2003

On December 31, 2018, we will discontinue support for Windows XP and Server 2003 in the following Windows-based G Suite data migration and sync tools:
The Windows XP and Server 2003 platforms are no longer supported by Microsoft. If already installed, the G Suite tools will continue to function on these platforms, but will not be actively tested and maintained, and will not receive security updates. If you are still using one of these unsupported platforms, we encourage you to move to a newer version of Windows.

Update to Drive plug-in for Microsoft® Office: Outlook support

Last July, we launched the Google Drive plug-in for Microsoft® Office. This plug-in made it super easy for people using Office for Windows to open their Word, Excel and Powerpoint documents stored in Drive and then save any changes back to Drive once they were done. Today we are extending the capabilities of this plug-in to include Outlook support.

From within Outlook for Windows, you can now:

  • Insert files using Drive: You can now simultaneously upload any local file to Google Drive and email the link out to the collaborators using Outlook. This is especially useful if your organization uses Google Apps Sync for Microsoft® Outlook or has a setup that uses Outlook with another mail provider.

  • Update sharing permissions: While composing a message in Outlook, you can now insert an existing Drive document link (or the actual Drive file) and customize the access permissions before sending the email. The plug-in is smart enough to know when to show you the document’s permissions and if you need to share the document with your recipients.

  • Save incoming attachments to Drive: For an incoming email attachment, Outlook users will now see a new Save to Drive option, which allows you to save attachments directly to Google Drive. This can save valuable time uploading downloaded attachment files from local storage back into Google Drive.

Limitations
The Drive plug-in for Microsoft Office supports the Microsoft Windows versions of Outlook (2007, 2010, and 2013 versions), and Office 365 if you've downloaded and installed Microsoft Outlook on your computer as part of an Office 365 subscription.
